• Provides administrative support in respect to all personnel matters, facilitating the requests of the employees/ addresses employee concerns as per policy.

• Supervise, preparation and processes of personnel actions as new hiring, transfers, promotions, resignations, demotions as per established policies i.e. notification to whole HR team, relevant department and staff, updating the system, contracts, job description and filing of documents in the employee file.

• Ensure appropriate documents are prepared, and coordination with government relation representatives for all matters related to residencies, official documents, visas etc. by having a tracking sheet

• Monitors the process of Ministry of Social Affairs and Labor contracts, and makes sure all related documents are completed on timely manner and same is compiled by reporting staff.

• Monitoring time management reports including (Attendance, Lateness, Early leaving, Absent and Punishments)

• Assists in performance appraisal process, probationary, annual and need to do basis in accordance to the established policies and procedures.

• Oversees and guides in monitoring and reviewing of personnel Policies and administrative procedures.

• Prepares or oversees all correspondence letters and internal memos prepared by reporting staff according to the procedures of personnel division.

• Ensures the reporting staff prepares annual ticket booking/encashment, as per the policy.

• Arranges or guides reporting staff in ticket booking and hotel reservations for overseas candidates, employees and other business delegates, based on the contract terms and agreements.

• Prepares the reports for performance indicators with information secured from reporting staff.

• Modifies the contracts or guides the reporting staff based on departmental requirement and management approval.

• Investigates the incidents and prepares reports /assists in documentation required in relevance to actions taken based on investigation and with reference to penalty list.

• Supervises the reporting staff that, all information required for salary processing are timely provided to payroll officer.

• Works on self; professional development throughout self-training programs and readings, attending trainings / courses as provided to improve the professional communications and relations with work-mates.

• Provides recommendation to enhance occupational health and safety, employee work life balance activities.

• Maintains good interpersonal skills to form effective working relationships to all staff within the hospital.

• Reports any issues that interrupt smooth functioning of the unit / hindering the expected outcomes to the Human Resources Manager.

• Ensures all relevant documents are saved for future reference.

• Ensures all new employees’ files prepared by Filing clerk are complete on monthly basis by maintaining a tracking sheet.

• Participates in orientation of staff as and when requested

• Maintains complete confidentiality of the hospital business.

• Executes miscellaneous job-related duties as assigned by the Personnel officer.
