 1. Ensure efficient & effective best possible HR support to all the employees in the assigned domain and perform the operational HR activities as per defined policies & procedures with utmost compliance on all HR processes
2. Support and assist HR Manager / Projects Managers to achieve day to day operations objective and effectively manage the Human Resources.
3. Follow all HR Policies and Process accurately.
4. Coordination with PRO/GRO for employee on boarding process (Documents exchange, medical arrangements, Emirates ID, Visa Stamping, renewal, cancelation & Repatriation )
5. Coordinate closely with numerous employees, Operations team, Govt. Relations Officers and accounts to ensure that the workers HR related issues are completed in a smooth and efficient manner.
6. Exposure to Payroll, Visa (Processing of new visas and renewal of Visa, Emirates ID, Passport etc.) & Medical Insurance Cards Departments.
7. Arrange Medical & Emirates ID finger print for new joiners as well as for visa renewal
8. Coordination with various Site Engineers for daily activities like employee mobilization, demobilization, Transportation and arranging suitable replacements etc.
9. Controlling company’s Fleet facilities. Identify and prioritizes logistics needs based on Management and Staff requirement.
10. In Charge of workers Accommodation Facility for Check In & Out, Room Planning and all camp issues.
11. Fully responsible for Fleet & Transportation of workers to and from the Projects as well as temporary and new arrangements for transport.
12. Supervise Site time keepers for accurate and proper attendance registry at All Projects, ensure all time cards are submitted to Pay Roll/Account after verification.

Job Summary

1) Support and assist Operations Manager and his team to achieve operations objective and effectively manage the branch resources.
2) Provide administrative support to the Branch Manager and his team to achieve branch and operations objective and effectively manage the branch.
3) Coordinate closely with the Operations Manager, patrolling supervisor, Camp coordinator to ensure that daily operations function are carried out in a smooth and efficient manner.
4) Carry out HSE related responsibilities

Duties & Responsibilities;-
 Assist Managers in day-to-day coordination and management of business operational activities.
 Receive and respond on All Emails correspondences as well as maintain/file the records in professional manner.
 Ensure compliance with company standards and procedures.
 Coordinate with HR, the following requirements on a routine basis: leave application, request for handover of passport, salary increments, schedule of examination for training and promotion.
 Update the Man Power Master List (Full HR list/details) with Accommodation Coordinator /employees on a daily basis.
 Issuing deployment orders and informing the employees about their re-deployments, transfers, training schedules, disciplinary notification etc.
 Collect monthly attendance from the required sites, verify by operations manager and enter into Rostering system. Handover relevant records to accounts for invoicing.
 Prepare monthly reports that may be requested from time to time by OM/BM/MD
 Prepare site visit logs on monthly basis for OM & PS.
 Collect and forward appraisal documentation and forward scanned copies to HR.
 Collect and file monthly daily/weekly site visit reports from operations supervisors and forward to operations manager for verification.
 Consult with OM/BM and prepare nomination for employee of the the Month award.
 Assist the operations team in conducting investigation into problems / issues that may arise.
 Assist the operations manager in reliever and leave planning - for NSI / PSBD / DDPS training and annual leaves.
 Coordinate with patrolling supervisors, site supervisors and operations/ managers and camp coordinators to ensure relievers and replacement are advised on changes in place of duty.
 Maintenance of documentation as per ISO formats including routine reports and customer files
 Coordinate the transport arrangement for the employees transferred from branches. Ensure that adequate accommodation arrangements have been made in advise
 Communicate with employees and assist them in resolve problems that are within areas of responsibility.
 Adherence to the Quality Management System procedures and its performance.
 Maintain and keep record of all incidents properly.
 Prepare Sales related reports and keep track of customer files
 Prepare Quotations and contracts in Company formats, get divisional head approval and forward to the customers accordingly.
 Handle Petty Cash for branch office, maintain records and reimburse the allocated amount.

Duties & Responsibilities;

 Ensure rostering and scheduling of services is logistically sound, efficient and effective use of staffing resources.
 Attend to day to day rescheduling to cover unplanned changes in staff availability including sick leave, personal leave and emergency replacement or back filling requirements.
 Ensure rosters are regularly reviewed to meet key service indicators.
 Ensure effective use of staff availability through effective job allocation
 Minimize travel time to ensure maximization of direct client time.
 Compliance with referral requests to ensure appropriate compatibility of staff with clients and services users with consideration given to skills, cultural, spiritual, and lifestyle preferences
 Ensure leave planning including annual leave, personal leave is scheduled to ensure continuity of care and service delivery.
 Participate actively in problem solving and finding solutions for scheduling difficulties and challenges in consultation with support from the Operations Manager.
 Meet and exceed required key performance indicators in relation to quantitative, qualitative and behavioral volumes (eg. Travel time, requests for services changes, time taken from referral to service commencement, etc).
 Day to day management of the roster including staff replacement for leave, etc.
 Assist with checking of time sheets.
 Generate various system reports for analysis.
