• Attending telephone calls, letter drafting and faxing.
Responsibilities:
• Stamp and register all incoming as well as outgoing files & distribute as marked by the Manager.
• Responding to the routine correspondences of the project.
• Prepare and distribute the minutes of meetings-MEP & Civil Progress.
• Arrange transportations, visits, events, meetings & conferences etc.
• Update the document register. Log all incoming & outgoing documents.
• Prepare submittal sheets for Shop Drawings, Material Submittals and documents in order to
submit for the Consultant Approval.
• Material Inspection Request as per Delivery Notes, Cost Variation Request, Notification of
Variation letters, Clearance, Work Notification, Request for Information (RFI) for Civil & MEP, Confirmation for Verbal Instructions etc.
• Coordinate with HR Department in order to update the Daily Attendance, Manpower, Leave approvals, Staff Transfers, Duty Joining and other HR related works.
• Duties related with Human Resources Management System (HRMS).
• Office Managing, Supervise Office Boys & Cleaners, Arrange transportation facility for company use, Make
Request for Kitchen & Stationery items.
• Following proper filing system according to ISO procedures.

Executive Secretary cum Docum ent Controller at HDP Overseas -Engineering Consultant

• Coordinate with Engineers and make comments for all submittals & mark the drawings as advised by the
Engineer.
• Check Daily M anpow er/ Equipm ent R eports, Daily w ork records, I nspection Notifications, M onthly
P aym ent, Variations, CI R, M EP Clearances etc., prior to forward to Engineers.
• Prepare and distribute the minutes of meetings (HSE, Technical & P rogress etc)
• Arrange meetings & conferences.
• Prepare various reports including Progress Reports, Presentations and Daily Notifications for the Engineer and keep all documents in a proper way.
• Scan & keep all documents. Forward the documents to the concerned persons through the Data
M anagem ent System (Live Link Softw are) as instructed by the Residence Engineer.
• Assist the Residence Engineer by giving the current information for his instructions while he is in out of office
& keep all confidential data.
• Coordinate with all staffs & remind the deadline documents to the Engineers.
