During this tenure, my prime responsibility was to look after Offers & Bids commercial evaluation and order Management. I was also responsible for Reporting, Controlling & Monitoring of orders cost, follow-up and recovery of Account Receivables, Bank Guarantees, TSDs and Monthly Forecasting.
• Intra and Inter department coordination for the smooth, timely and clean execution of orders.
• Preparation of Annual and Seasonal Sales Strategies in coordination with BU Management and Sales Team.
• Budgeting and Forecasting of New Orders, Sales, Sales Margin, Receivables, Advances, and Cash Inflows.
• Review and appraisal of Bids / proposals to maintain budgeted profitability with objective to materialize opportunity.
• Review and preparation of Contracts / Agreements / Financial proposal for Orders / Projects with the technical counterparts keeping in view strategic, operational & controlling aspects along with legal & statutory regulations and tax implications.
• Negotiations with customers in finalizing the contract.
• Monitoring and Settlement of claims with regards to the contract
• Credit Management, Customer Analysis, Setting Credit Limits for Customers.
• Implementation of Export Control Procedures and Sarbanes Oxley Act in Sales Department.
• Conduct meeting with sales engineers on monthly basis regarding outstanding receivables, delays in execution, and non-performance issues
• Providing commercial support to sales technical managers and engineers to achieve budgeted targets of new orders, sales, and profitability - coordination with other functions of business unit.
• Commercial Management of Key Accounts with single account worth PKR 120 Million ($1.4 Million).
• Responsible for preparing customized reports (like Sales Engineers’ Performance, Dealers’ Performance, Order in Hand Ageing, Order in Hand Quantity and Monthly Units Sold) for the Sector Management.
• Facilitating regional offices in Lahore, Islamabad, Multan and Quetta for their commercial matters.
• Preparing and Providing commercial/ order related data for Audit purpose.
• Preparation of customized reports using SAP reports like COPA, OCC, Receivable Ageing, PCA.
SAP Interaction
SAP has played a pivotal role in carrying out operational tasks on daily basis. Being an active member and at the front line of SIEMENS’s Sales Support team, I was responsible for carrying out all the related transactions in SAP once an order is secured (by Sales Engineer). I was responsible for:
• Customer Creation in SAP Customer Master Data.
• Maintaining Customer Credit Limit (Customer Exposure) as per company guidelines.
• Booking of Sales Order in SAP as per agreement with the customer.
• Regularly monitoring individual orders for Plan v/s Actual Cost variances and taking corrective measures in case of discrepancy.
• Close coordination with the Procurement & Planning department, in order to ensure smooth execution (delivery) of orders at agreed with the customer.
• Receivables management on regular basis.
• Close monitoring of Customer Exposure levels and taking actions accordingly to maintain those levels.
• Delivering and Invoicing goods through SAP.
In addition to above, I was also responsible for making customized reports for the Management with the help of SAP reports like: PCA, COPA, OCC and Account Receivables Ageing.
During my tenure I’ve interacted with SAP’s SD, PP, MM, CO and FI Modules.
