Answering calls, taking messages and handling correspondence.
● Typing, preparing and collating reports.
● Support and facilitate the completion of regular reports with Accountant.
● Check frequently the levels of office supplies and place appropriate orders.
● Develop and maintain a filing system.
● Maintain confidential department files/records.
● Write emails, memos and letters with customers, clients & suppliers.
● Book meeting rooms, set up conference calls and take messages and minutes during
meetings.
● Update and prepare change order for each project.
● Reviewing Monthly invoices, calculating the cost of materials and subcontractor fees,
reviewing employee time cards and updating payroll and expense reports.

● Assist project managers by updating the information needed to create Bid proposals and
budget reports.
● Prepare and follow up the Purchase Order.
● Audit, process and pay vendor invoices in an accurate and timely manner ● Assist with
tax filings; support the month end close process.
● Analyzing, reconciling and resolving all employee payroll issues to ensure smooth payroll
processing.
● Preparing and entering journal entries into Focus accounting system.
● Tracking and preparing reports of revenue through receipt of cash, credit card, web
applications
