Assisting the Management in staff selection and appointment process, fixing salaries
Preparation and disbursement of staff salaries
Maintaining staff records and service register as per Government norms
Calculation of staff leaves salary, gratuity
Providing and maintaining staff transportation and accommodation
Managing the process of employee visas, new visas, renewals and cancellation
Preparing and maintaining the personal records of staff and workers as per the HR policies
Monitoring the staff and workers
Assisting the management and Directors in maintaining the administrative functions of the office
Maintaining all resources of the company, its inventory to ensure smooth functioning of the
facility
Other administrative duties as and when required
Answering phone calls, dealing with inquiries and provide general information to job applicants regarding HR procedures.
Preparing and issuing employment contracts to new employees.
Setting up and maintaining an employee's personnel files.
Checking all records to ensure they conform to the requirements of the data protection.
Reading all correspondence including inquiry letters, job applications and CVs that are sent in.
Writing job adverts and posting them on newspaper and online job boards.
Managing an employee's sickness records and paperwork.
Complex diary management - including arranging video conferencing, conference calls, internal and external meetings across multiple time zones
Arranging travel plans and itineraries; compiling documents for travel-related meetings.
Sort and distribute incoming correspondence including faxes and emails
Interpret administrative policies and procedures for employees
Supervise and train clerical staff
Read and review all outgoing correspondence
Type and distribute routine letters and related materials
Maintain control over seniors’ calendars, meetings and appointments
Managing all the works related to Labor and Emigration
Making Visas for new employees in Dubai
Renewing visas of existing employees and ensure all visa, medical and employment permits are up to date and arrange timely renewal.
Submitting online visa applications for emigration
Arranging the employees to get the Health card and Certificate of medical fitness for stamping the visa
Maintaining an update record of all employees
Maintaining of Rent, Sponsorship and License
Represent the Company at locations such as the Police Station, Airport, Hotels, Embassies, Ministries, Municipalities & other significant Departments
Managing all Legal Activities of the company
Provide general assistance for manager
Meeting and greeting visitors
Making appointments
Dealing with correspondences
Answer phone inquiries of the clients.
Manage all incoming and outgoing transactions.
Prepare documents and sales reports of the business. Pay the bills.
Taking dictation and minutes.
Organizing and attending meetings.
