The ICRC, established in 1863, works worldwide to provide humanitarian help for people affected by conflict and armed violence and to promote the laws that protect victims of war. An independent and neutral organization, its mandate stems essentially from the Geneva Conventions of 1949. Based in Geneva, Switzerland, it employs some 12, 000 people in 80 countries; it is financed mainly by voluntary donations from governments and from national Red Cross and Red Crescent societies.

Major Responsibilities:

Oversee the shipments from the point of entry (Airport, Seaport, dry port etc.) till the destination warehouse
Communicating needs & objectives to managers & key personnel within supply chain department
Implement and enforce the local customs & transport related laws for import, export and transit goods.
Negotiate contracts with suppliers regarding procurement of services, many of which are of significant value.
Arrange for reception/shipment of incoming and outgoing cargo, by any necessary commercial or ICRC internal transport mean (road, air, sea, rail etc.).
Design, implement and manage contracts in forwarding, transport and warehousing, where necessary.
Maintain an excellent level of awareness of the suppliers market (availability, suppliers, prices, etc.)
Identify potential suppliers for the relevant services in the market (vendors, transport companies, etc.)
Ensure well planned scheduling of trucks as per specific commodity requirements with respect to their final destination in a timely manner to ensure smooth cargo movement operation all over Pakistan for IDPs & flood affectees.
Administration of Logistics Database FSS (Field Supply System) to generate and keep record of necessary documents such as Requisition Orders, Purchase Orders, Waybills, Packing Lists etc.
Liaison with insurance companies to make sure that each vehicle is insured and secure the 3rd party insurance certificate if any vehicle needs insurance renewal
Work with the Freight forwarders and clearing agents to ensure that we are utilizing the best services in terms of dependability and economy.
Scrutinize all invoices and forward them to the finance department for further processing and payment to the concerned suppliers
Prepare and send documents to apply for import permission in MFA & update IMPEX database on regular basis.
Supervision of logistics staff within transport/IMPEX department including drivers for daily operations.

WAREHOUSE INCHARGE at Community World Service

Community World Service-Pakistan/Afghanistan is an international nongovernmental organization which implements humanitarian and development activities across Pakistan and Afghanistan. Since 1954, CWS-P/A has worked for the development and relief of marginalized communities on the basis that all individuals irrespective of race, faith, color, sex, economic status, or political opinion have the right to choose how to live.

Major Responsibilities:

Manage the Warehouse Systems accurately, to ensure that stock movements are updated in a timely manner.
Establish analytical reports based on logistics movements and distribute them according to requirements.
Manage logistics operations including all logistics assets in order to ensure timely and cost-effective delivery of CWS cargoes.
Maintain the physical inventory of food and non-food items on weekly, fortnightly, and monthly basis.
Implement the Logistics Manual to make sure that all the logistical procedures are followed and implemented in very good spirit and suggest the procedures where there is any shortfall.
Partitioning of each program sector wise by storing and reporting them separately e.g. Environmental Protection Program (EPP), Winterization, Livelihood, WatSan, Hygiene Promotion, School Safety etc.
Supervise and assign different tasks to the warehouse assistants regarding daily warehouse operations.
Interact with suppliers and work with them in close coordination with Assistant Manager Operations.
Maintain standards of safety and comply with organization’s Health, Safety and Environment, Management System requirements.
Maintain a proper record of all the documents involved in the procurements and to make sure that all such documents should be easily accessible and retrievable by management and auditors.
Maintain overall organizational inventory, keep the inventory items/assets/equipment updated with inventory tagging & control over the inventory movements.
Arrange transport for dispatches of required materials to desired locations.
Receiving goods as per the description on the purchase order.

Additional Responsibilities (Transport & Administration) :

Ensure that vehicle log books for all modes of transport are kept accurately and up to date by drivers.
Keep up to date information regarding security situation, the condition of roads, waterways and apply this knowledge in planning daily field visit roaster.
Responsible to implement the pick & drop schedule staff from and at the prescribed bus stops.
Ensure that utility bills are timely remitted and submitted the same to finance department for payment.
To look after building’s maintenance and repairing.
To contact Government officials and lodge complains in case of any fault in electricity, gas or telephone.

LOGISTICS ASSITANT (Tally) at United Nations World Food Programme (UN-WFP)

WFP is the food aid arm of the United Nations system. Food aid is one of the many instruments that can help to promote food security, which is defined as access of all people at all times to the food needed for an active and healthy life. The policies governing the use of World Food Programme food aid must be oriented towards the objective of eradicating hunger and poverty. The ultimate objective of food aid should be the elimination of the need for food aid.

Dispatching, Receiving, Handling and Storage with standard record keeping of UN Inter-Agencies Commodities.
Scrutiny of Financial invoices from Logistics in collaboration with Finance section (i.e. Transport wages, Labor wages etc).
On time reconditioning or disposal of damage or spoiled items with proper reporting by strictly following the QHSE (Quality, Health, Safety and Environment) policy.
To maintain the attendance record in register and computer for tracking the attendance and leave balance of each person of the staff.
Administration of logistics database (COMPAS) for Cargo tracking, movement, processing and analysis reports.
Report to the admin/finance department at the time of shortage in stationary or kitchen items etc.
Scheduling Cargo Movement plans for the transporters to deliver the required items to desired locations.
To maintain and report the physical inventory of food and non-food items on weekly, fortnightly, and monthly basis.
Preparing the Daily and monthly Stock/Movement Report in computer.
To prepare and maintain Store Receipt Vouchers, Store Issue Vouchers, and Stock Registers numerically.
Stacking and Making Slings for air operation.
File waybills and other documents of incoming consignments.
Checking the quality and quantity of wheat flour during loading and production time in the flourmills.
To monitor the use of the VHF radio system in terms of receiving and relaying messages as required.
To train staff in the use of VHF radios system.
