- Review and monitor Service Level of Agreement
- Support higher Management for the analysis and improvement of Facilities
- Provide other services and assistance to camp for smooth continuous operation, logistic, shipment, courier, PPE, etc.
- Monitor operation of the Facilities contractor, concerning Operation and Maintenance.
- Continues study and improvement of services inside the camp and camp site.
- Monitor the portal for the smooth operation of services being provided concerning request or special services.
- Manage and assign accommodation inside camps.
- Monitor Housekeeping operation.
- Assist Resident inside the camp for their needs.
Duties and Responsibilities
❖ Handles nine (9) properties, consisting of Five (5) Villas in different location (Durrat Al Arous, 3 Villas and Obhur two (2) Villas), Three (3) Commercial Properties within Jeddah (Head Office, Residence Fifty-nine (59) apartments and Housing Two Hundred Twenty Eight (228) apartments), and Company Accommodation with seven (7) Flat and function area.
❖ Coordinate and Collaborate with Facility Manager for the planning and implementation of agreed Service Level of Agreement with the contractor;
❖ Ensuring that all properties are operating efficiently, conserve energy, and has a high standard sustainability to give tenant comfort in coordination with Camp Supervisor;
❖ Manages Department Annual Budget in coordination with Facility Manager for proper disposition;
❖ Manage Petty Cash Control depending on the urgency of the operations, approved by Facility Manager;
❖ Review and Monitor Warranty Coverage of Equipment
❖ Ensuring cost effectiveness in manpower utilization;
❖ Manage the Facility Stock Control and Purchases;
❖ Responsible in manning the Help Desk;
❖ Handling vehicle management of technicians and logistics;
❖ Handling Warehouse Management and Storage control in absence Warehouse Supervisor;
❖ Manage the safekeeping of Technicians Tools and Equipment, issuance and monitoring;
❖ Knowledgeable in ERP or Navision Service Management System;
❖ Data encoding of Accomplished Service Order to Microsoft Navision;
❖ Creates Maintenance Schedules;
❖ Plan Manpower schedule;
❖ Leading Manpower to address issues and concern of the Facility in a timely manner;
❖ Prepares and Review Operational Manual of the Facility;
❖ Prepares and Review Summarize Sequence Operation of Equipment;
❖ Prepares and consolidate Monthly Report, Progress report; Cost Report and Withdrawal Report and Analytical Report of the department and forecast what to expect and be planned in the future;
❖ Prepares Power Point Presentation to be reported to Higher Management;
❖ Managing Document Control;
❖ Organize Department, documentation and prioritize execution to meet timeline and prioritize task;
❖ Coordinates with Human Resource Department for the needs of staff;
❖ Performed duties that may arises as directed by Facility Manager;
❖ Responsible in Managing the camp site for manpower needs and room allocation;
❖ Collaborate with Senior Management for the planning of Manpower Mobilization.
❖ Supervise mobilization of staff and laborers
❖ Monitoring employees Exit and re-entry visa;
❖ Monitors employee passport and Iqama for safekeeping Arrange the flight itinerary and ticket reservation to travel agency and airlines for all employees having their vacation and business trip;
❖ Arrange reservation for hotels and meeting rooms, venues for meeting engagement of executives and managers associated with client needs;
❖ Assist and Coordinates with the Saudis for Iqama renewal stamping;
❖ Coordinates with site regarding administrative problems and needs to be replenish and supplied;
❖ Assist the Operations Department for mobilization and transferring manpower in accordance to their timing and needs;
❖ Prepare correspondence for Admin;
❖ Prepares Payroll and counterchecking;
❖ Prepares Cash Advance for site employees who request CA;
❖ Manages employees personal file;
❖ Taking care of the Medical Insurance of employees;
❖ Assist in releasing of monthly salary.

Assist in allocation of Tickets for Station Tellers;
•Assist in reconciling report of ticket allocated;

•Balancing and reconciling of cash received;

•Preparing billings of rentals and electric power usage of leasee of the university;
•Counterchecking of computations regarding claims of salaries and wages, evening services, night differentials, overtime pay and over teaching of faculty;
• Encoding of Student financial record;
•Indexing of employees financial record and other benefits;
•Prepare Notice of Suspension and Notice of Disallowances;
•Act as Liaison Officer to deliver notices, vouchers and information regarding documents for audit;
•Assist in post-auditing of Disbursement Vouchers and other financial documents of the agency;
•Assist in the inspection of deliveries, etc.;
•Encodes various communication letter such as endorsement letter to industry, referrals and accomplishment of the office;
•Attend to students inquiries and follow up status of students placement and clearances;
•Accompany students to industry from their industrial Orientation Program and Supervised Industrial Training;
•Liaising with industry regarding various linkages program;
•Attends meeting with the Program Director of Extension and External Affairs concerning scholarship;
