 File and forward tracing a variety of documents, appointments etc.  Update HRIS system databases - Peoplesoft, OASYS, Sunfish to reflect candidates’ real-time status.  Maintain office supplies for the HR department by raising purchase orders in Birchstreet, Lotus Notes, Scala, process department invoices in a timely manner.  Liaise with Immigration Team for requested visas processes.
 Assist in payroll preparation by gathering and providing relevant HR information through the system, like absences, bonus and leaves.  Support new associates with Orientation information, ‘New Hire Onboarding’ training, hotels’ tours.  Prepare medical insurances for employees of all 6 properties: provide completed applications, corrections & deletions forms for AON & Dar Al Takaful; notify employees of cards delivery (approximately 2200 staff members across 70 nationalities).  Screen CVs of requested job candidates; ensure that all candidates have full reference checks; notify existing staff of internal opportunities.  Arrange interviews for shortlisted candidates with concerned Hiring Manager and HR.  Assist with the HR organization of any associate events (projects, meetings and training seminars).  Process employees’ requests: schedule meeting with Area Director of HR, accommodation related requests, cross- /training participation, events participation requests, payslip related requests, etc. and provide relevant information.  Draft administrative letters and forms. Issue all memos, employee transfers or confirmation, and other company announcements (manage internal communications platform via Yapmo), manage and track the circulation of documentation for signature.  Organize Birthday celebrations and gatherings for the team.  Handle sensitive, confidential and interpersonal matters adequately.  Provide a consistent administration and non-administration support to the Shared Human Resources Department and other associates.
