1- Serve as the Office Manager
i. Communicate with Royal Group
ii. Coordinate Meetings
iii. Coordinate Logistics for events and visits
iv. Manager Travel
v. Manage Correspondence internally and externally
2- Prepare all the admin documents/ correspondence related to a project such as but not limited to:
vi. Prepare Commercial and Technical Proposals
vii. Prepare Purchase Orders and track until the delivery of the products to the end-user
viii. Prepare Delivery Note and Commercial Invoice
ix. Prepare Sample Request
x. Prepare Arabic and or English correspondence
xi. Translate documents from Arabic to English or vice versa
3- Track administrative documents and actions related to ongoing projects
xii. Maintain Project database
xiii. Maintain and Updating Weekly and Monthly Reports
xiv. Record and File all incoming and outgoing documents
4- Coordinate with suppliers via email to verify RFQ information such as delivery date, delivery term, technical specification, etc.
5- Support the project executive by research for technical specs, update on the progress of the ongoing project and update them on their daily task.
6- Maintain and track samples
Devising &maintaining office system; including data and filing
Arrange travel visa and accommodation
Organizing and attending meeting .
Liaising with clients, suppliers&staff.

Invoicing & handling pety cash
Office Assistant & Personal Assistant to the country Manager
· Devising and maintaining office systems, including data management and filing.
· Maintain Country Manager’s calendar - plan and schedule meetings and
teleconferences
· Arranging travel, visas and accommodation for Country Manager and all staff
· Liaising with clients, suppliers and other staff.
· Supporting office team with various requests
· Responsibility for accounts (Petty cash - office account )
· Planning & organising all practical aspects of events: budger, location, laising with
suppliers for catering, audio visual, room set up, etc….
· Managing key supporter relationships with significant individuals.
· Developing, organising, and planning an event.
· Reviewing and sourcing the locations where the event is to be held.
· Helping to manage budgets for the event.
· Obtaining written confirmation.
· Liaise and negotiate with suppliers.
· Conducting a follow up analysis of events.
· Building good client relationships.
· Sending out accurate client contracts and ensuring they are signed & returned
within appropriate deadlines.
· Well presented, attention to detail and excellent time management skill.
