Administration Management:
• Supervising general and technical administration team
• Arranging technical interviews with technical managers for new recruitment
• Managing employee’s monthly payroll process and solving salary issues
• Ensuring appropriate archiving of records
• Processing of all leave applications, sick leave, leave without pay for all employees.
• Ensuring all travel arrangements for personnel and ensuring the record control for this
• Maintaining discreet control of personnel personal details, training records, appraisals and Medical records
• Managing the induction program induction and any personal equipment issued
• Providing all management and administrative reports according to the SOP’s
• Processing of expense claims.
• Taking minutes of GM meetings followed by delivery to relevant personnel
• Liaising with Camp Services Manager to arrange accommodation for all personnel and guests arriving on site
• Managing the Coordination with Security to arrange transportation for staff and equipment between different camps
• Conducting toolbox topic training to all site technical services staff
• Managing Invoices
• Coordinating with all Technical Services department Managers regarding outstanding Work Orders
• Complete control of the Job / work register
• Liaising with the stores regarding outstanding spare parts and equipment to ensure efficient performance of the various technical services departments
• Ensure that all technical sales orders and Work Orders are recorded accurately and in a timely manner.
• Managing work orders from the internal, external customers
• Providing helpdesk service for internal and external customers
• Complete control of the Job / work register
• Assisting Technical managers in preparation of Service Level Agreements
• Review of any routine and non routine work invoices before submission to GM and Finance department
• Generation of performance and KPI reports
• Coordinating work flows for members of the Admin team
• Preparation of Invoices and Credit Notes

Stores Management:
• Supervising the Technical Services Stores Department
• Generating Purchase Requisition Forms for materials ensuring proper the correct processes are followed obtaining correct approvals before submitting them to the Central Purchasing Department
• Inspection of goods in conjunction with department supervisors on receipt to ensure that the correct materials and quantities are delivered
• Liaising with Senior Management and Quality Assurance Department in the event of any Non Conforming goods being received
• Ensuring that any actions that are agreed upon relating to Non Conforming goods are undertaken
• Ensuring all goods in are updated onto the stores database
• Making sure that relevant departments are made aware once goods arrived to ensure efficient operation of the various departments
• Issuing the Goods to relevant departments and updating the stores database
• Receiving the invoices for payments process from Suppliers
• Preparing investment applications and submitting to Country Manager for approvals and Updating the summary of IA register
• Full stock control and management of stock to recommended levels
• Conducting monthly inventory, quarter inventory and end of year stock takes
• Reviewing and action all overdue and outstanding purchase orders through daily liaison with purchasing officers
