1. Recruitment process

• Centralize all HR requests and ensure that they are validated by the right persons
• Ensure that the right departments are aware of their role in any recruitment
• Ensure that the job offer (=job profile) is done for any recruitment
• Follow up the diffusion of the job offer: handle directly the advertisement process or follow up the diffusion (Internet & newspaper if needed)
• Ensure that the selection process is respected: centralize CV’s sent by mail or on hr.recruitment.hi@gmail.com, file them according to the positions opened and diffuse them to the persons in charge of the recruitment
• Assist the HOD in scheduling and organizing the tests and interviews if required
• Contact the selected persons and prepare the interview and tests if required
• Under the responsibility of the HR Coordinator update the CV database
• Under the responsibility of the HR Coordinator update the Recruitment board

• In charge of updating the HR database on a daily basis if required
• Ensure the follow up of leaves in the Coordination HR database
• Ensure the update of the social security payment - collect the lists from all HR Officers from the bases, compile and prepare the invoice for payment
• Ensure the update of Income tax payment - collect the lists from all HR officers from the bases, compile and prepare the invoice for payment
• Ensure the update of Health Insurance Payment - collect Health insurance FU tables from all bases, compile them and share with the Finance Department to process monthly payment

c) Health insurance/Social security registrations

• Ensure that any HI employees have an insurance file updated
• Register any new employees to the health insurance scheme (If applicable) directly with the designated Health Insurance Company
• Ensure that HI employees have an insurance card and that they received their soaps
• Facilitate the reimbursement of medical expenses from the insurance company: centralize all the refunding requests concerning HI employees on the emergency mission, follow up any issue concerning Health Insurance in link with bases HR Officers

d) Monthly contracts FU - HR related

• Ensure the Monthly contracts FU table is updated for HR related contracts, for all the bases - deadline until 5th each month

e) Organisational charts
• Coordinate monthly updates of Organisational chart from all bases. Compile into one follow up & share with relevant staff

6. Administrative follow up of human resources for Expatriate

• Ensure the briefing for any expat arriving on the mission: working schedule, HR processes, advance on salary requests, leave and R&R requests
• Prepare a file for any expatriate staff
• Ensure that any expat staffs have a right accommodation in the guest houses (bedroom must be prepared, etc.)
• Centralize all the leave requests and R&R requests; prepare the trip of the expatriate in link with Logistics team (transport to the airport, hotel or guesthouses)
• In link with the Finance Officer in Amman, prepare all the payment of per diem and flight ticket reimbursement concerning R&R
