main purpose of the position provideing all welcoming phoe maintenaceand logistical services including the establishment of urilication of meeting rooms and daily transoportaion program
• Welcome and guide visitors of ICARDA office.
• Receive and direct telephone calls and fax.
• Take telephone massage when need.
• Establish the program of utilization of meeting rooms and coordinate with attend-ance boys are prepare the meeting room.
• Day to day supervision of the maintenance of the new building (cleaning -electricity plumbing etc.) by determination of needs, coordinate with service provider s and monitoring the work .
• Establish the daily transportation program and coordinate with drivers.
• Accommodate the service providers.
Basic functions of the job
Perform all the administrative work for the Department of Internal Audit.
- First: in the field of incoming and outgoing mail:-
inbox:-
Receipt of your inbox sections of the circuit court under detailed portfolio and distribution
Receiving incoming mail from the Office of the Director and the Bank's de-partments and distribution
Outgoing mail:-
Mail receiving circuit of the sections and record its own register
Outgoing mail processing duly n identify where the following information with each duly circumstance (the name of the Directorate / Branch / number issued / person against him).
- Second: In the field of fax and e-mail address:-
Receiving incoming faxes.
Distribution of faxes to the circle sections after marking them by the Director of the circle.
Follow-up e-mail of the department and received, documented .
Sending faxes and outgoing e-mail.
- Third: In the field Phone:-
Receive incoming phone calls
Asked returning phone calls to officials.
- Fourth: In the field of files:-
Circulars, administrative instructions, incoming and outgoing correspondence.
Update old files and work on opening new files according to the requirements of work.
- Fifth: In the field of stationery / publications:-
Processing orders for stationery and publications.
Order stationery and publications upon receipt and save.
- Sixth: In the field of printing:-
Print all letters and reports of the internal audit department.
Printing and issuing circulars concerning circles and circulated.
Customer records associate (JUN2011-AUG2012)
• Loading of all kind of maintenance.
• Check and prepare daily status update report related to Demand Deposits Account of all branches when needed & ensure all documents are received as per the report
• Scanning signature of demand deposits accounts & POAs
• Assist in handling back office operations & maintenance upon.
• Ensure that all documents are properly obtained to open a corporate account.
• Account conversion status and premier standing (New/amend) Request chq book on system.
• Verify document against daily status update report& against supporting document in file and apple A/C Closed stamp on closed account documents.
