• Managing the facilities management service provider’s performance particularly active and reactive maintenance update in the system.
• Validating and approving all work requests approvals as well as inspecting and confirming
that work has been completed.
• Following up and solve tenants’ complaints and update the records accordingly.
• Conducting check-in and check-out inspection for units with tenants as per process.
• Prepare reports with timely information review of property management activities as well as
service providers’ performance and present the same in monthly management meeting.
• Support the line manager with day to day activities of the department to ensure higher level
of customer satisfaction and profitability of the business.
• Coordinate with the higher management and services provider to execute an effective
maintenance service.
• Prepared monthly reports to the landlord and the portfolio Manager. This briefed them fully
on problems related to the running of the buildings, and either outline the measures taken to
rectify them, and made recommendations in order to correct them.
• Processing rental applications including detailed screening of applicants and discussions with
landlords. Negotiated leases and prepared tenancy agreements for new leases and renewals.
• Generating new and renewal tenancy contracts, receipts and Ejari contracts in the web portal.
• Ensured that renewal notices were sent to tenants 90 days prior to their expiry date.
• Assisted the tenants and landlord at all times through phone calls and e-mails round the
clock.
• Following up with the landlord in completion of the documents and keep it for the record
(Title Deed, Property management agreement, Power of Attorney).
• Interprets Lease Agreement and Addendum to the Tenants.
• Keeps records in Excel sheet to monitor each units status (Tenant’s information, due dates for
renewal notice, tenancy contract expiration and contract status).
• Draft and distributes rent increase letters, renewal letters, late renewal notices and bounced
cheque notices.
• Answered telephone, screened and re-directed calls as appropriate and took adequate
messages when required.
• Dealing with all inquiries in a professional and courteous manner, in person, on the telephone
or via e-mail.
• Managing Customer complaints and ensured, as far as possible, that clients’ complaints and
concerns were attended with speedily and satisfactorily.
• Ensured that all relevant information was entered into the “REAL ESTATE OPERATIONS”
software program in an accurate and timely manner, and that all renewal dates and
maintenance issues were not only regularly monitored but followed up as necessary to ensure
resolution.
• Received cash and cheque payments, prepared the receipts and handed over the payments to
Accounts department on a daily basis.
