• Facilitate in scheduling and supporting the group-wide annual salary review and bonus process, roll out of compensation and benefits programs and other ad hoc initiatives
• Administer the annual salary review process, including analysis, creation of worksheets and issuance of letters to employees ensuring accuracy of the letters
• Consolidating and reviewing incentive/ commission schemes across the business and maintaining a database of all approved schemes
• Maintain the Job dictionary and ensure that any change in benefits or other parameters are updated in a timely manner. Reconciling the job dictionary with the payroll data and highlight any discrepancies for corrective actions
• Participate in the formulation, communication and roll out of benefit programs and facilitate ongoing administration of the same
• Provide support and advice to other business units within the organization on Compensation and Benefits policies and procedures
• Monitor and supervise the monthly payroll generation and ensure all transactions, including attendance, advances, deductions, etc. are entered and updated on the system
• Check employees' letters (bank, embassy, employment) and submits them to the concerned authorities for signature
• Prepare the manpower planning budget information for all departments
• Reviews C&B policies and procedures, and ensures company's compliance with internal laws and procedures
• Responds to employees' queries in compensations and benefits related issues, provides the necessary support, and escalate unresolved issues to the hierarchy
• Prepare End of Service for all employees
• Monitors attendance for over 540 employees and their updates on the payroll system (Oracle), as well as monitoring all kinds of leaves and working hours' balances
• Prepare notifications of change in salary, calculate per diems, salary advancements, deductions, and relocation expenses and record them in the payroll system (Oracle)
• Issues, monitors and updates employee discounts and uniform allowances.
• Reviews all insurance billings and invoices for accuracy and submits them to the finance department for payment
• Ensures accurate and on time submission of Final Settlements and End of Service Benefits for terminated personnel in compliance with internal laws and procedure
• Develops and conducts in-house training programs to both HR and staff and other employees as required
• Develops and maintains up-to-date end user manuals and materials
• Evaluates seasonal bonus schemes, increment schemes, budgeting requirements for related departments, salary projections and structures, etc.
• Monitors the output of Juniors, that is checking accuracy of updates on the payroll system (Oracle)
• Run the payroll of over 540 employees and make sure that the commission and salaries are paid correctly based on the payroll log sheet
• Prepare statistical reports requested by different departments (Costing, payroll transactions, Accounting deductions, etc)
• Prepare and activate discount cards for new joiners
• Maintain employee leaves in payroll system and validate the attendance by the end of month
• Handle insurance claims for personnel and mediated with insurance company for all insurance related issues
• Assist employees with their inquiries (leave balance, pay slips, salary certificates, salary transfer letters, etc.)
• Follow-up and make sure that all new joiners have submitted their bank details
• On-going maintenance of employee personal files on the payroll system
