Job Role : Logistics Coordinator
• Managing 3PL logistics functions and developing cost effective shipping solutions; negotiating freight rates with shipping lines and freight forwarders.
• Ensuring safe shipping/delivery of all materials; attending to & redressing any discrepancies in shipping/delivery
Administering the entire gamut of Import/Export and commercial activities including planning & execution of
import shipments, shipping, freight management and customs clearance
• Ensuring submission of proper documentation associated with warehouse transactions, deliveries and invoicing to customers and in-house departments
• Generating MIS reports on key metrics, non-moving item report, perpetual inventory report, consumption variance report, scrap generated data report, daily shortage items report and so on
• Monitoring overall functioning of processes, identifying improvement areas and implementing adequate measures to maximize customer satisfaction level
• Providing effective resolution to customer queries and improving relationships with the customer by anticipating customer future requirements, thereby ensuring a positive customer experience
Highlights:
• Ensured smooth movement of stock/ raw material from the store by taking various quality measures.
• Improved customer service levels across key accounts from 65% to 90% by reducing out of stocks, days of stock and meeting customer-specified delivery requirements.
• Monitored plant logistics & also 5 to 6 warehouses across globe for distribution of goods to the final customers; negotiated and finalized contracts of freight rates for primary, secondary distribution and Third Party Logistics (3PLs)
Responsible for the end to end process of all related documents to ensure completion of all shipping records/documentation
in a timely manner to ensure compliance with established deadlines.
Handling & overseeing of project cargo logitstics movemnet in Iraq.
•Monitoring inventory movement records and physical cargo foot print at third party vendor facility to reduce storage costs.
• Organizing and managing inventory, storage, and transportation.
• Liase with shipping lines and other freight forwarders for freight rates and shipment planning.
• Responsible for custom clearance operations for inbound shipments into Dubai & Abudhabhi.
• Analyzing and optimizing logistical procedures for export, import and cross country shipments.
•Conducting site surveys for specialized cargo movements.
•Reviewing, preparing, and routing purchase orders.
•Ensuring the safe and timely pick-up and delivery of shipments.
•Generate and maintain monthly reports on inventory levels. •Generating invoices to customers after completion of job.
• Work within the Supply Chain team and wider site Operations teams to review purchasing, delivery & sales
requirements in line with the customer orders, and use this data to take prioritized action.
• Execute all the daily processes in an accurate and timely manner, defining and managing appropriate daily management systems are in place to manage accurate supply. Including:
• Create and manage the daily stock and planning reports
• Prepare Purchase Orders & contracts for Bulk shipments including LC arrangements (import& export)
• Create timely and error free Sales Orders by entering accurate information in JD Edwards.
• Maintain channels of effective communication with customers, agents, operators, Sales team and other departments
• Coordinate with shipping agents for Bill of entries & customs processes including inspection.
• Invoicing customers & Monitor outstanding payments with Finance and follow up with customers
• Prepare Sales contracts & Proforma invoices for all bulk shipments in a timely manner and forward them for execution
to the Logistics team.
Key Result Areas:
• Following-up with customs clearance staff, proof of exports; coordinating with Banks for LCs and non LC documents
• Heading warehouse team & obtained timely delivery of materials at favorable terms to ensure smooth warehouse operations
• Ensuring physical verification of the items received for quality and quantity as well as of the warehouse stock and statutory registers
• Preparing discrepancy reports for the submission to the warehouse and distribution department
• Following up with the procurement departments on receipts dates of all materials ordered ensuring the right implementation of procedures related to the receipt and delivery of materials and spare parts
• Developing and effectuating contingency/business plans to ensure uninterrupted and smooth business operations, and attainment of budgeted objectives
