Marine PRO Cum HR & Admin Support (Crewing)
Job Description :
Acquiring all staffs New Visa, visa renewal and Visa cancellation through online (E-Channel & GDRFA).
Obtaining foreign countries visa (European visas, Schengen visas etc.) for company delegates to attend conferences.
Company related licenses & documents renewal coordination & management.
Preparations & arrangements of medical Insurances for all the new joinee & existing staff and their families.
Preparing Salary transfer letters, NOC letters & Official letters to governmental departments etc. according to staff request.
Staffs Payroll Management Entries. Staffs Personal Information’s and Certifications updating as per HR Manual.
Provides support to the HR & Crewing department in the provision of full HR training services to Shore & Offshore
Staff.
Monitors Training Plan for all seafarers (Officers & Crew).
Open Personnel Training Matrix for all new joining crew.
Develop, maintain and update a database of all shore and sea staff training.
Reviewing and verifying Training Invoices from training providers and agencies ensuring accuracy prior to approval
process for payment.
Raises skills levels by arranging appropriate training; scheduling and planning of all client requirement training for
joining crew.
Ensure all new joining crew completes all the required training before embarking the vessel.
Ensures all OPTIMA cards and HSE inductions are carried out with all new recruits.
Optima card Registrations (new & renewal) on Adnoc SEATS.
Sea ID & Oil Field Card new registrations & renewals (FTA & CICPA) for all offshore crew & shore Staff’s.
Liaise with Training providers to ensure priority bookings for Offshore & Shore staff’s.
Liaise with Crewing department to coordinate available dates for crew requiring additional training so as to coincide
with port calls and not to delay in sailing.
Ensure transportations are arranged for conveying staff to attend training courses, visa medicals etc.
Keep a detailed Master List of all training required, planned and carried out complete with dates.
Maintain personnel files for all offshore based staff.
Maintain an up to date database of all additional training requirements as required by each client.
Ensure that certificates of attendance/completion are received for every person who has undergone training.
Liaise with the Crewing Filing Clerk/Data Capturer to ensure that copies of all training certificates are added to the
personnel files and uploaded correctly into the ERP database system.
Ensure that all staff who have undergone training receive the original Certificates of Attendance.
Ensure input and update to the ERP data is carried out on a regular basis.
Ensures that personnel training records are kept up to date.
Preparations of MOHA & MODA Applications & Matrix List (INDIAN & PAKISTANI Territorial Waters application)
Preparations of Matrix list for COAST GUARD (UAE Territorial waters) & Egypt Territorial waters.
Travel ticket arrangements & coordination’s for the newly recruited Crew’s & the Crew going for vacations.
Maintains sufficient knowledge of other Crew Administration activities in order to be able to relieve other Crewing &
HR Staff when necessary.
Salary transfer Bank account opening for new joining staff’s. (Offshore)
Preparations of Salary certificates, Interview report forms, Memos etc.
New staffs On-boarding formalities and verification of educational & personal certificates.
