1. Asset management:
Capital level - Asset management
- To receive, tag and register all new assets across the mission
- Follow up with both purchasing and finance to complete all relevant
documents for compliance purposes
- Conduct periodic spot checks to ensure the accuracy of the inventory
- Maintain assets in good working order and follow up on the
repair/ replacement of assets
Country level - Asset follow up
- Conduct periodic inventory controls across the bases to ensure
assets are correctly managed & registered
- Spot checks on individual users’ assets to cross check the state of
assets and verify the lists
2. ITC Management:
- Providing support to all users at the country level for ACTED in Jordan
- Organization and enforcement of ITC procedures
- Create maintenance schedules for servers, Firewalls, Routers as well as user issues equipment.
- Create work planning, Ex. Migration from old platform to new ACTED platform.
- Periodic checks of key configurations (local/ Azure Cloud backups, antivirus, firewalls, etc.)
- Enforcement of exit procedures and data handovers (files, email, backups)
- Liaise with HQ for email creation, management & removal
- Follow up with HQ on software purchases and licensing
- Local enforcement of the global IT policy.
- Common equipment maintenance & configuration
- Rationalisation IT purchases (printers, UPS, etc)
- Cost investigations and optimization of consumables and running costs
- Ensure breakdowns/ replacements are enacted quickly and cost-effectively
- Connectivity is assured - both for LAN and WAN connectivity
- Install / configurations (Server, firewalls, routers, and printers) and maintenance H/W maintenance.
- Install 365 office and software on new laptops to het them ready for the staff.
- Identification and replacement of failed components
- Data to be preserved as far is practical and cost effective
- Manage Microsoft End Point manager admin center
- Design two websites ( booking system, Platform for ACTED Jordan )
- Periodic formatting of computers to be carried out S/W maintenance
- Monitor access permissions making the appropriate changes to enforce policy
- Ensure data backups for staff who are leaving the mission
- Assisting in the IT sourcing stage in the procurement and sharing the technical specifications
- Assisting logistics to find new sources for IT Suppliers.
3. Communication Management.
- Manage internet access for offices in all ACTED offices and guest houses.
- Manage mobile SIM cards and make sure invoices are submitted to Finance to insure availability of service.
- Monitoring the internet service strength through bases and taking proper actions to ensure good service connection
- Managing and monitoring the SIM card stocks; including ordering and declining lines.
- Manage and follow up on the SLA.
4. Training for ACTED staff.
- Create presentations to explain and train staff on the bases of any new software or new IT procedures. Ex. How to use 365O
- Create manuals and share them with staff. Ex. How to create a backup from your email, how to install MFA, etc.
- Create Online/live training for all staff.
5. Reporting & Filing
- Record keeping both digital and hard copies.
- Accuracy of reporting and enforcement of required controls
- Working with FLAT to ensure compliance with both ACTED and donor requirements
- Working on IT Titanic reports and sharing them with HQ on monthly bases.

Fleet / Transport Officer at ACTED

1.1 Fleet Management
Monitor all movements of ACTED fleet
To liaise with the Head of Fleet/Logistics officers in the bases as appropriate on matters relating to County transport policies and procedures.
Track movements between bases and contact vehicles at pre-determined points (according to road map)
Monitor and track “dead spots” where communications on routes is problematic
Track vehicle registration and insurance documents to be up-to-date
Maintain vehicle schedules between bases, head office and locations of work
Follow up with base and capital requirements for fleet needs
Liaise with supplier for maintenance requirement and vehicle records
Ensure vehicles meet ACTED standards and safety
To instigate arrangements for the replacement of vehicles and draw up specifications for new vehicles.
Using ACTED database system, input vehicle fuel usage and monitor reporting of vehicle fuel consumption
Ensure vehicles are replaced by supplier when taken for maintenance or servicing and the new vehicles are equipped with necessary car tools/equipment;
Monitor movement of staff within ACTED vehicles, maintain vehicle passenger lists per journey
Monitor staff movement out of Amman and (Amman to bases and vice versa)
Ensure staff arriving and departing in and out of country have a driver present on their arrival/departure
Propose improvements in the existing transport processes, systems and tools.
Be responsible to implement the pick and drop schedule of staff from and to prescribe destinations
Collect monthly vehicle checklists, verify their accuracy, and work with drivers to correct any problems.
Manage relations with vehicle rental company and manage vehicle rentals as necessary for project
Operations
Maintain proper inventory of all components of vehicles, making sure they are maintained and checked frequently.
Prepare services requisitions for repair and maintenance at the appropriate shops (garages)
Maintain working relationships with vehicle Rental Company and liaise with them regularly on vehicle repairs to ensure repairs are appropriate and done thoroughly.

1.2 Fuel Management

Track vehicle and fuel usage and consumption rates; ensure that potential problems or fuel misuse is raised to management.
Compile the monthly fuel reports.

1.3 Managing the Drivers

To appoint and supervise the drivers.
Maintain monthly driver schedules, to be prepared before the start of the coming month and shared with logistics, drivers and bases, once confirmed to be share with HR department who will maintain OT per route
Responsible for accurate cars’ log books and clean drivers’ OT sheets;
Follow up with drivers for daily schedule, follow up with shift requirements and possible last minute changes
To ensure that all drivers are aware of the necessary daily and weekly checking procedures and that they are properly implemented.
Act as the line manager to transport personnel, evaluate employee performance, allocate and rotate appropriate work assignments, develop training plans
Oversee recruitment of new drivers and testing of driver candidates in traffic rules, signage, signalling, and practical driving.

1.4 Budgets Controlling and Monitoring

Checking and processing transport accounts for payment.
Monitor expenditure on transport services against budget estimates.
Track repairs and costs as part of monitoring and overseeing the repair processes.

1.5 Reporting

Maintain monthly reports on fleet movements according to dispatch log book
Monthly fuel consumption report to be checked according to vehicle log books and dispatch vehicle monitoring reports.
Check driver OT sheet against the movement report to validate driver OT
Monthly driver schedules to be prepared and shared
Attendance sheets to be monitored
Maintain a box filing system for each vehicle that stores all information, like; insurance registration documents servicing/repairs and accidents reports, log books sheets and other relevant documents
