• Handling Organizational development projects for 5 hospital i.e. policies and procedures, manpower planning and control.
• Maintain calendar and meeting scheduling; while ensuring VP attends meetings on time, managing invitations, lunch and other support as needed.
• Coordinate and set up for meetings and events; arrange attendees’ schedules/attendance, request conference room reservation, check attendees’ availability, order catering; and reset room post-meeting; set up conference calls, set up video conferencing, provide onsite assistance for the meeting.
• Collaboration with -C level and Managers in preparation and submission of all periodic progressive reports, presentations, dashboards, etc., coordinating with their GMs for information and further advise.
• Preparation of monthly consolidated progressive report and dashboard to VP base on all progressive inputs receiving from the heads of core functions with necessary modification and alignment as required.
• Planning VP meetings, site visits & travels, etc., with defining Objectives and Charter of Key Contents to the teams (if required) for further arrangement and necessary plan alignment and preparation.
• Optimizing the time of the VP’s by handling all kinds of emails related to Employees request, PR, ERP and other minor issues rising by the employees, telephone calls (internal and external).
• An aptitude for working with technology and online resources.
• Create, edit, format and proofread letters, memos and other documents using Microsoft Word Office suite. Strong experience working with Excel, required. Presentation support skills required.
• Screen internal and external correspondence, emails, memos, and reports; assess priority and distribute in a timely manner.
• Efficiently manage internal document work flow-track, record, and direct incoming and outgoing office documents.
• In rotation to answer general association switchboard and greet association services office visitors.
• Plan and execute office activities including monthly social events, and periodic team outings. Event planning and management skills required.
• Strong organizational skills required, to manage all administrative duties for the VP.
• Ability to put together and maintain reports required.
• Assurance of compliance of all other task which assign in day to day.
