Responsibilities:

Reporting:

• Preparing elaborate reports (monitoring reports, financial updates) for chief of section and Logistic Manager as and when required.
• Updating the Supply Section Monitoring sheets.
Logistics / Warehousing:
• Using SAP to issue release orders, waybills doing acknowledgments of waybills in SAP.
• Arranging the receiving of supplies in warehouse and dispatches of program supplies through SAP.
• Arranging the physical movement of supplies and coordinating with transporters for delivery to final consignee.
• Follow up for the acknowledgements of waybills from transporters.
• Processing of invoices of transporters and freight forwarders in SAP.
Custom Clearance:
• Preparing clearance documents for shipments coming from abroad and sending the documents to freight forwarders. Preparing No Objection certificates for NDMA and Exemption certificates for UNICEF supplies to be prepared for Ministry of Foreign Affairs.
• After receiving endorsed exemption certificate from MOFA, preparing custom clearance documents for freight forwarders.
• Sending pre - alert advices to program for information and acknowledgement of distribution plan.
• Arranging direct deliveries to the final consignees.
Procurement:
• Updating list of suppliers per commodity and adding new suppliers in the list after factory assessments. Identified alternative sources for procurement as per requirement.
• Preparing requests for quotations and invitation to bids, comparative tabulation and supplier selection after review of samples.
• Drafting recommendations for the contract review committee (CRC) and submitting cases to the committee.
• Drafting purchase orders for specifically assigned commodities and ensuring expending action until completion of transactions. Follow up with Logistics for delivery of goods to the respective places.
• Preparing Sales Tax Exemption certificates along with purchase orders for submission to the Ministry of Foreign Affairs, and providing the exemption certificates to the suppliers, once they are received.
• Contacting inspection companies to obtain the cost for inspection and following up on the inspection report.
• Checking the Delivery Receipt (DR) to ensure that the consignee received the supply and the draft payment request.
• Conducting field visits with supervisor to field offices for monitoring of supplies.
• Undertaking any other relevant task agreed upon with the supply officer within the Supply section or in support of another section.
