Enter all Invoices as Obligations on Oracle System and Budgetary Control System.
•Calculate the Costing for every shipment and submitting to finance.
•Setting the Damage Report for all shipments.
•Calculate the Monthly Demurrage for all shipments and posting on ORMS.
•Sending Insurance Request for each shipment to the Insurance Company.
•Maintain daily Cash flow (Incoming and Outgoing) and report to Finance Dep.
•Coordinate supporting documentation to establish proper authorization.
•Maintain record and prepare reports and correspondence related to the work.
Responsible for everyday internal/external correspondence.
•Handling all incoming and outgoing calls for the company and direct calls to the appropriate authorities.
•Receive visitors and official guests and direct them to the appropriate authorities.
•Maintain efficient archiving system.
•Prepare meeting schedules making prior arrangements, meeting agendas, registering, typing and filing minutes of meetings
•Overall Coordination of office administration.
• Renewal of Passport, residence, credit Card, etc.
• Preparing Shoun, Jawasat works, full admin work.
• Follow up of emails, letters vigorously.
• Preparing of quotations, Deliver notes, Invoices.
• Fixing up appointments and meeting with local and overseas clients.
