Responsibilities:
PreOrderplacementactivities:-
- Review & managing Purchase requests (PR/MR)
- Market research, and RFQ distribution
- Reviewing quotes, commercial bid evaluations (CBE), price negotiations, finalize technical and commercial
scope and order placement.
PostOrderplacementactivities:-
- Expediting & coordination with warehouse operations team to complete GRN as per KPI
- PO administration including PO revisions, resolution of discrepancies (if any).
- Booking Purchase Invoice for Payment and maintain PO file for audit purpose.
- Conducting annual supplier evaluation & appraisals.
Additional responsibilities: -
- Support the estimation team to make tender quotation (Price & Quantity)
- Alternate client meetings along with the designer/consultant throughout the project.
- Petty cash management (Cash bills, DM & DCD payments, Staff transportation bills etc)
- Prepare and submit monthly reports to Director (Purchase order details, Percentage of amount saved from budget,
New vendors registered, etc)
- Fleet management
Review of requisitions for materials and directing RFQ’s
Bidding evaluation based on criteria;- quality products with certifications, material make, availability (ROS), delivery of material, & pricing
Placing orders - negotiation on price, payment terms ( credit terms) delivery terms
Follow ups with Placed order till delivery.
Making recommendations & advising senior management on all purchasing issues.
Maintaining records of supplier contracts, agreements, goods ordered received.
Managing vendor relationships and building effective supply chain partnerships.
Proper follow up - ensure orders are acknowledged, recording order details, informing if changes on ROS, ensure ordered items reaches as per the terms and conditions with proper certifications like MTC
Arranging deliveries and collection of material - Handled Logistics operations in GCC countries, USA, UK, Jordan, Singapore, India, Turkey, Russia & China (export & import)
Direct contacts with freight forwarders
Customs clearance & port way handling and Shipping documentation.
Organizing internal transportation within the company
Shipment modes handled- airfreight, sea freight (both export and import)
Generation of orders to accommodate the payment to freight forwarders, suppliers/Vendors
Completion of warehouse procedures (DN, GRN, ISP, RCP) Monitoring and tracking the flow of goods.
