Job Profile:-
1. Annual Leasing Plan | Establish leasing objectives by forecasting and developing annual leasing plan, projecting expected leasing revenues from existing shops.
2. Retail Conference & International Business Tours | Attending Retail Shopping Centre event within GCC for networking and represent the organization.
3. Retail Associations | Al Shaya International, Apparel Group, Azadea Group, Landmark Retail, Landmark Leisure, Al Ghanim Group, Lals Group, Rivoli & Co etc.,
4. Leasing Enquiries | Ensure that all leasing enquiries are serviced promptly and professionally, arranging site visits for potential, suitable tenants.
5. Leasing Database | Maintain up to date database of leasing inquiries for all available shops vacancies.
6. Lease Contract | Undertake initial negotiations with prospective tenants for final selection and then finalizing the leasing in line with the approved rent.
7. Occupancy Management | Maintain occupancy levels and revenue levels. Renewing any lease expiries that are due, in line with the agreed leasing strategy. Establish and adjust rentals and incentives availed to tenants.
8. Lease Contract Management | Identify any potential problem tenancies or shop vacancies in advance where possible, through lease data/operations feedback and formulating a tenant replacement plan. Identify additional revenues or added value opportunities through the leasing strategy for discussion and implementation.
9. Retail Planning | Participate in the retail planning and leasing objectives where applicable.
10. Lease Reports | Prepare regular leasing reports, updating line managers on the overall leasing status and potential critical issues
11. Other Duties |
(1) Follow-up on quarterly municipality lease renewal.
(2) Verifying the sales report of Tenant prior to approach management for rental reduction.
(3) Follow-up with Tenant for settlement of outstanding payments (Rent/ VAT/ Utilities) prior to proceed municipality lease renewal.
(4) Negotiating lease terms with tenants to ensure that both parties are satisfied with the arrangement.
(5) Perform other job-related duties and projects as per business needs and assigned by the management.
1. Provide administrative support for activities related to the Property & Asset Management for Leasing Departments and ensure that high-quality work is produced within established deadlines.
2. Set up and maintain accurate files and records that may be easily accessed by all. This would include but not be limited to the following:
• Maintaining existing vendor files and general files.
• Maintain correspondence files.
• Setup and establish lease files and brokerage agreement files.
• Maintain company databases as it relates to all property operations.

4. Tenant & Vendor contact information daily and emergency.
5. Handle correspondence, telephone contacts, and incoming mail, including confidential materials, in a professional and expedient manner. Administer e-mails, send and forward to appropriate people.
6. Photocopying, faxing, scanning and file administration as needed.
7. Organizing meetings for Leasing Manager with the new and existing tenants and similarly vendors.
8. Follow-up with the Tenant/Vendors for payments, and documents.
9. Preparation of the following letter:
i. Offer letter for new property
ii. Renewal letters
iii. Termination letter
iv. Amendment
v. Addendum
a) Preparing Internal/External Letters, MFR, and Memos etc.
b) Answering phone calls on behalf of Executive Director, G.M - Projects and Project Manager.
c) Filing various documents, maintaining mail register, attendance register, and handling office administrative work and assignments.
d) Making Local Purchase Order, Business Travel Expenses Statement & follow up with A/c dept.
e) Booking Air Tickets, Hotels, cab/taxi for our guest and officials.
f) Making Financial Excel sheet as per requirement.
g) All types of office administration works like arranging stationery & business card.
h) Managing travel requirements and meeting schedules of project personnel.
i) Handling office diaries, Assisting clients and visitors.
j) Arranging Visa for Overseas Delegations and shortlisted candidates’ for interview in Muscat.
a) Preparing daily attendance for site workers & plant machinery report.
b) Making Work Order & follow-up with suppliers.
c) Internal & External correspondence & follow-up.
d) Preparing all sites working plans & follow-up with Engineers & Project coordinator.
e) Making Weekly Project Report all sites for C.E.O.
f) Coordinate with others departments.
g) Preparing Local Purchase Order, Debit Note, Credit Note & follow up.
a) Preparing Out Duty, Tour Programme, Leaves for V.P. Finance
b) Booking Hotel & Air Ticket.
c) Preparing Term loan document for nationalized banks & keep all records in file index wise.
d) Making Local conveyance, Tour Claim & co-ordinate with all departments.
e) Arrange Cabs for Visitors & V.P, Prepare Minutes of Meeting & making presentation.
f) Arrange corporate credit card as per requirement & follow-up with the bank.
a) Processing Health Insurance claim.
b) Auditing the Health Insurance claim.
c) Reporting to Team Leader.
