Hands on experience in identifying, sorting of Engineering Documents and drawings (Architectural & Structural Drawings, Tender drawings Electrical & Instrumentation drawings, , data sheets, manuals etc.) as per ISO 9001:2008 Quality Management System, EDMS & QMS
Ability to plan, organize, lead and coordinate the Project Execution and Property Management within our multidisciplinary Engineering group, in order to meet the needs of the projects, proposals and Company’s quality requirements and timely deadlines (milestones).
Monitor and report on office expenditure and development of process to reduce unnecessary cost. Ensure the ongoing availability and quality of office equipment and supplied. Specifically related to document control & Administration department.
Attend client meetings and assist with determination of project requirements
Assist the PM in the drafting and issuance of project proposals, RFP’s, tenders, budgets, cash flows
and preliminary schedules
Prepare contractors payments and client payment follow-up
Chair site meetings and distribute minutes to all project team members
Track the progress and quality of work being performed by design disciplines/trades
Use project scheduling and control tools to monitor projects plans, work hours, budgets and
expenditures
Effectively and accurately communicate relevant project information to the client and project team

Assist the PM in the review of Contractor quotations to ensure that only fair and reasonable pricing is
recommended for approval
Track & manage contemplated change notices and change orders in the database
Prepare substantial completion certificates and ensure all required project close out documents are
obtained
Communicate ideas for improving company processes with a positive and constructive attitude, and
for developing this attitude in others
Keep the Project Manager (PM) and others informed about project status and issues that may impact
client relations
Exposure in Engineering coordination office, experience in leading group of Document Controllers, managing Site Document Control team and Site Secretaries

Responsible for maintaining Auto-CAD drawing information and reports in a database and Worked with Directory structures for storing and filing electronic drawing files
Prepare submittals to consultant (Drawings, Prequalification, Technical and Materiel Submittals) follow ups and revisions with the documents
Distribution of documents and correspondence between contractor, consultant, clients and sub-contractors and maintain the correspondence and Register, log, distribute, track, issue, maintain and control office and site project documents and drawings.
Prepare submittals to consultant (Shop-Drawings, Prequalification, Method Statements, Technical and Materiel Submittals and RFI & RFC) follow ups and revisions and supersede the documents
Assisting the project managers, while handling confidential project documents. Consulting project managers to deal the problems on priority basis.
Responsible for Preparing Subcontractors Interim Payments in coordinate with the BOQ taken by Quantity and enclose relevant supporting documents

To establish the Electronic Document Management System (EDMS) in the company and to train the new Document controllers / Site Secretaries required for various project sites prior to their site induction as per as per ISO 9001:2008 Quality Management System, EDMS & QMS
