Duties & Responsibilities:
• Preparation & Follow-up of orders with over 16 suppliers of pharmaceuticals & medical devices located worldwide for on time delivery in accordance to delivery lead time, MOQ & market need.
• Preparation & executing purchasing forecasts on monthly & quarterly basis.
• Follow up for governmental & Private Awarded tenders to secure safe & efficient receipt of goods to end institutions.
• Arranging for shipments freight forwarding & Transportation from Origin up to our stores.
• Direct contact with Jordanian Customs in regards to shipments’ clearance, refunds & any claims.
• Maintain clean import record with Jordanian Authorities at different customs borders’ entry points.
• Preparation of importation documents prior to goods arrival including Special approvals from JFDA, Public Security.., Etc.
• Monitoring daily clearance activities including verification of customs declaration & payment shipments charges.
• Ensuring special handling for high valued medicines &/or Cold &/or sensitive shipments storage conditions upon arrival & prompt movement of shipments from airport up to our stores.
• Keep track of quality, quantity, stock levels, delivery times, transport costs and efficiency
• Resolve any arising problems or complaints
• Supervise, coach and train Logistics department staff, In house Interns & other organization’s personnel.
• Comply with laws, regulations and ISO requirements
• Direct contact with insurance companies to update insurance policy details.
• Monthly &/or on demand reports to different business sectors.
• Updating organization’s database & Oracle system for ongoing items changes in regards to prices, MOQs, Lead time, Origin, customs charges &, sales tax in accordance to government’s updated declarations & price agreement with suppliers.
Responsible for day-to-day logistics activities pertaining to our brands & companies' items
1. Follow the agreed standard of supply chain management processes and SOPs.
2. Communicate and follows-up needs, objectives & timing required to key personnel in production, logistics
3. Work with sales team to produce an accurate estimate of the sales volumes and budget.
4. Ensure sales forecast on monthly basis & follows-up sales activities.
5. Establish the list of product prices then sends it to head of supply chain management/VP for approval.
6. Plan delivery timetables in order to dispatch the products to customers on time.
7. Direct the movement and processing of inventory.
8. Build & maintains excellent relationships with customers.
9. Look at ways to improve the supply network in order to increase productivity and to reduce costs.
10. Be updated and follows the processes, regulations and packaging requirements related to the country.
11. Follow-up with finance for orders (letters of credits, prepayments, cheques) & customer's commissions.
12. Ensure frequent reporting on current orders status & pricing analyses to head of supply chain and informative system to involved customers.
13. Create policies or procedures for logistics activities.
14. Plan or implement material flow management to meet production requirements &delivery dates by customers.
15. Implement specific customer requirements, such as internal reporting or customized transportation metrics.
16. Follow up product import or export processes with customers to ensure compliance with regulatory or legal requirements
17. Negotiate with suppliers or customers to improve supply chain efficiency or sustainability
18. Plan or implement improvements to internal or external logistics systems or processes
Duties & Responsibilities:

- Managing local and overseas Purchase orders/deliveries transactions between our customers and suppliers Or W/Hs
- Securing good coordination with freight forwarders for orders shipments from Origin Country OR W/H to customer’s port of discharge or W/H
- Auditing the processed shipping documents for sea/air freight deliveries as per customers requirements
- Solving unforeseen issues for material starting from its origin until its final destination at customer's premises.
- Applying INCO TERMS 2010 on all deliveries practices
- Monitoring Stock levels, deliveries, storage and management along with company’s 3PL partner in Amman & Aqaba Free Zone Warehouses
- Identity key customers’ issues and develop potential solutions.
- Identify key supplier’s issues with orders and develop potential solutions
- Work closely with Sales, quality assurance, and finance to meet customer's requests and manufacturer’s terms.
- Manage costs and expenditures through organized and informed planning
- Supervise the inventory status at warehouses located in Amman and Aqaba special economic zone.
- Monthly reports including Stock Level Reports, Month-end sales, Planned/forecast deliveries on monthly basis submitted to Management
- Good Understanding of clearance procedures and customs requirements.
- Reconciliation and approval Vendors/ Service providers claims and invoices

- Preparation of the needed shipping documents for sea/air freight deliveries as per customers requirements (Invoice, Packing List, COO, Insurance, B/L Draft)
- Preparation/ receiving Letter of Credits .
- Well understanding and practice for Incoterms-2000
- Maintain the required level of inventory at warehouses around the Middle East including Jordan, Iraq &, Lebanon.
- Work closely with Sales, quality assurance, and finance to meet customer's requests and manufacturer’s terms.
- Good Understanding of clearance procedures and customs requirements.
