I am the Facilities Manager of the Sci-Bono Discovery Centre in Newtown, Johannesburg. This role entails managing all facilities including technical/maintenance, security and cleaning staff as well as subcontractors for various services.

Key Functions & Responsibilities:
Facilities Management
• To manage and oversee the effective functioning of the organisation’s physical facility and the effective operation of all physical assets;
• To assist in the maintenance of the organisation’s assets register;
• To monitor and maintain all physical services such as plumbing, security, electrical, audio-visual, access control, data network hardware, fire prevention and security and other services;
• To ensure compliance with health and safety regulations and to ensure that the facility is safe for use at all times.
• To assist in setting up the facility for all events and activities and to restore the facility after all events.
• To liaise with external parties who use the facility and to ensure that they comply with usage policies.
• Compliance with all statutory, legal and health and safety requirements
• Complete special projects and perform other duties as assigned.
• Give guidance to the facilities team in day-to-day activities to ensure the safe and efficient departmental function.
Property Management
• Management of rent roll
• Ensure that revenue from the rent is collected in time and deal with defaulters
• Manage all rent contracts
• Deal with tenant’s complaints
• Ensure that all tenants are compliant with all relevant statutes.
• Prepare monthly tenant reports
Sustainable Facilities Management
• Ensuring that the building support the core business with minimum impact on natural resources through environmental sustainability initiatives. (i.e. water consumption management, waste management etc)
Risk Management
• Maintain all security documentation and facility agreements and be a custodian all statutory requirements.
• Document and ensure communication of key risks within the organisation
• Recommend ways to control and reduce risks
• Gather risk-related data from internal and external resources
• Devise systems and processes to monitor validity of risk modelling outputs
• Identify and analyse areas of potential risks to the assets and the success of the organisation
• Develop and implement risk assessments models and methodologies
• Plan and contribute to the development of risk management systems.
Safety and Security
• Inspect and evaluate environment, equipment and processes in working areas to ensure compliance with government safety regulations and industry standards.
• Identify potential hazardous biological, chemical material and unsafe conditions within work areas.
• Recommend changes to protect employees, clients and customers visiting the centre.
• Educate employees on how to prevent health and safety problems through the use of safety induction and related safety training programs
• Investigate accidents and near misses to identify their causes and find ways to prevent them in the future.
• Manage in-house security services and systems
Fleet Management
• Oversee the repair and maintenance operation for all the organisation’s vehicles.
• Analyse maintenance costs and provide recommendations on fleet utilisation and replacement.
• Track fleet usage and maintain accurate inventory of equipment
• Ensure the maintenance records for fleet are accurate and up-to-date
• Prepare management reports as required

Retail Manager at Bidvest Facilities Management

This position was responsible for repairs to all Vodacom stores and as managing repairs and maintenance for the Vodaworld building at the Vodacom campus.

• All repairs to all Vodacom stores countrywide. This included all HVAC, Shopfronts, Lighting and Furniture.
• Engaging with all contractors and internal technical staff countrywide to facilitate repairs and quotations.

• Oversee facilities and building related services to all corporate offices, training facilities and stockrooms throughout South Africa.
• Assisting and managing in-house maintenance staff, coordinating maintenance and repairs for all technical disciplines.
• Management of all outsource contractors and service providers for all Corporate Offices, Training Facilities and Stockrooms.
• Deal with, and manage multiple service provides country-wide regarding: Cleaning; Hygiene; Pest Control; Indoor and Outdoor Plants and Horticulture; Heating, Ventilation and Air Conditioning; Electrical Contractors; Furniture relocations; Building, Construction and Maintenance etc.
• Responsible for the coordination of the company’s OHASA program for all corporate offices nationally. This is done in conjunction with an external consulting company, AltraMed.
• Responsible for all technical refurbishment and relocation projects throughout all of our offices, training facilities and stockrooms, including both soft and hard services.
• Manage various subcontractors that we use with regards to any work performed on the projects.
• Involved in the facilities management of all regional offices and training facilities.
• Preparation of budgets for projects (CAPEX) as well as annual budgets (OPEX),
• Conduct all site inspections for new as well as existing offices and create the management reports for these visits.
• Involved in the facilities contract discussions, writing of RFP documents.
• Part of our department’s RFP committee.
