JOB DESCRIPTION AS STORES ASSISTANT(UMI)
• RECEIVING AND VERIFYING OF MATERIALS ACCORDING TO LPOS (LOCAL PURCHASE ORDERS), DELIVERIES AND INVOICES.
• ISSUING ITEMS TO USER DEPARTMENTS AGAINST REQUISITION SLIP.
• ENSURING THE CORRECT DESCRIPTION OF ITEMS AND USE OF CODES FOR USER DEPARTMENTS ON REQUISITIONS NOTES.
• ENSURING PROPER AUTHORIZATION OF REQUISITION NOTES FROM USER DEPARTMENTS AND APPROVAL FROM THE INSTITUTE BURSAR.
• CARRY OUT PHYSICAL VERIFICATION OF STOCK ON REGULAR BASIS, REPORT IF ANY ITEM GOES BELOW MINIMUM STOCK LEVEL AND REPORT ANY DAMAGES, SPILLAGE AND VARIANCES TO STORES CONTROLLER.
• ENSURE ALL STORES ARE LOCKED BEFORE LEAVING DUTY.
• TAGGING OF THE ITEMS RECEIVED AND ARRANGES THEM IN PROPER LOCATION.
• ESTIMATION OF THE REQUIRED MATERIALS
• VERIFICATION OF IN COMING ITEMS AND RAISE GOODS RECEIVED NOTE (GRNs) WITH APPROPRIATE MATERIAL CODES..
• ENSURE ALL STOCK ITEMS ARE ARRANGED IN RESPECTIVE LOCATION AND EASILY IDENTIFIED FOR STOCK TAKING AND DESPATCH.
• MAINTAINING, MANAGING AND MONITORING ALL STOCK FLOW MOVEMENT ON DAILY BASIS.
• VERIFY / CHECKING RATES, TERMS & CONDITIONS OF ORDER CONFIRMATION WITH OUR IMPORT ORDER & DELIVERY SCHEDULE UPDATE.
• CO-ORDINATE WITH STORES, ACCOUNT DEPT, AND OTHER INTERNAL DEPARTMENT.

Stores Assistant at Roofings Uganda Ltd

• Receiving and verifying of materials according to LPOs (Local Purchase Orders), IPOs (Imported Purchase Orders) deliveries and invoices.
• Maintenance of first Aid Box and making sure drugs do not go out of stock.
• Issuing items to user departments against MRS (Material Requisition Slip).
• Ensuring the correct description of items and use of codes for user departments on requisitions notes.
• Ensuring proper authorization of requisition notes from user departments and approval from the stores controller.
• Carry out physical verification of stock on regular basis, report if any item goes below minimum stock level and report any damages, spillage and variances to stores controller.
• Ensure all stores are locked before leaving duty.
• Tagging of the items received and arranges them in proper location.
• Knowledge of ERP systems(Oracle) and supply chain data
• Excellent communication skills - ability to communicate with peers and management at all levels of the organization. Enjoying working in a collaborative environment.
• Strong computer skills, with expertise in Excel, as well as other business operating systems
• Knowledge of Purchasing, Inventory Control, and Order Fulfillment processes and inventory management methodologies
• Understanding inventory management, purchasing and sourcing
• Ability to multi-task in a fast paced environment

OTHER COMPETENCES INCLUDE;
• Experience in both public and private sector procurement
• Preparation of procurement plan, preparation of Bidding Documents.
• Monthly procurement reports to PPDA
• Drafting of contracts, issue and receipt of Bids
• Opening of Bids, Evaluation of Bids, and knowledge in the prequalification process.
• Leadership skills
• Team building and public relations.
• Excellent written, interpersonal and communication skills.
• Ability to produce results and meet deadlines with minimum supervision.
