• Support manpower planning and recruitment of administrative support staff. Identifies current and upcoming administrative staffing requirements, screens and interviews candidates to ensure skills match position requirements against a defined competency framework. Includes initial discussion on salary and providing subsequent recommendations and evaluations to relevant hiring managers
• Develop and propose frameworks, improvements and benchmarking tools to ensure best practice and an overall quality service is provided in all areas of the Human Resources function
• Mobilize new overseas and local hires into the Company as required
• Deliver weekly orientation presentation and corresponding documentation to all new hires, continually review to ensure material delivered is current and up-to-date
• Ensure completion of new hire surveys section 2 during the probationary period to determine and address possible issues that could influence employment
• Assist in conducting Talent Reviews and provide management with necessary training and tools to complete comprehensive assessments
• Facilitate internal Company transfers, locally and overseas, ensuring a smooth transition
• Prepare and issue various contract amendments as required
• Assist in investigation of and response to issues, enquiries and complaints as they arise to ensure appropriate action and resolution in line with Company discipline and grievance procedures
• Facilitate Company demobilization process. Complete outgoing exit interviews as required and follow up any areas of concern
• Follow up probationary review form completion with relevant managers, ensuring adherence to Company policy and Country Labour Law
• Responsible for annual internship programme. Liaise with various universities and divisions to ensure successful onboarding of interns and timely completion of relevant documentation
• Develop and maintain divisional factsheets and Company related orientation induction presentation to ensure information is current and relevant

Employee Relations
• Respond to employee’s inquiries on process, requirements about different HR & Admin Service and Company policies
• Grievance handling ( meeting employees at work or Camp) and reporting to HRD and HR Manager
• Ensuring closure of grievances through close coordination with compensation, administration and other HR Function
• Investigating incident and generating report regarding employees (fight, thefts, violation of policy and Qatar Labor law) to determine the transpired event and the culprits.
• Roll out disciplinary action based on the investigation.
• Conducting Exit Interview and Generating report for the management
• Counsels employees regarding work, family, or personal problems
• Implements disciplinary measures related to Attendance, Performance, Behavior and Health & Safety
• Monitoring and follow-up on division performance appraisal compliance
• Allocates new male/female employees to the designated accommodation

HR Compliance
• Follow up with the Division Head on pending leave, certification and other approval in the Oracle / HRMS
• Monitoring and follow-up on division performance appraisal compliance.
• Camp Visit to ensure employee are accommodate as per Group standard and Qatar Labour law.
• Coordinating with Managers and Admin to ensure smooth functioning of HR operations
• Handling camp Clinic and Auditing Camp clinic on quarterly bases.
• Support the HR Projects and initiatives (e.g. Blood Donation, Sports Festival etc., ), and carry out tasks and instruction on a timely and accurate basis to support its success.

Recruitment & Staffing
• Receiving and reviewing of Manpower Requisition Forms received from different departments/divisions.
• Interact with the concerned line manager to understand well about their manpower needs.
• Posting of job vacancies internally and externally using different channels
• Shortlisting of applicants received as per the JDs attached on the MRFs
• Conducts initial interview through skype and/or telephone for those shortlisted applicants from recruitment agencies on those outside Qatar according to the established guidelines for different position categories.
• If required, administering the necessary selection test in accordance with the hiring managers for the shortlisted applicants.
• Organizing the technical interview and providing the required documents (candidate CV, job description & interview assessment form)
• Advice job applicants of the result of the screening process on a timely manner.
• Conducts background investigation for all the selected applicants.
• Prepares job offer letter and eventually employment contracts.
• Follow up with the selected candidate for necessary confirmation of the offer made and the required documents prior to commencement of work.

Compensation, Benefit and Administration
• Extracts daily attendance report from the bio-metric machine
• Prepares the vital documents needed for exit such as clearance and application for exit permit / visa cancellation
• Handles flight bookings of employees due for vacation and exit
• Prepares and communicates General Memos, Certificates and letters
• Handles Medical insurance and Work man general insurance.
• Monitors QID, MOI, and passport expiration and facilitates the processing of renewal
• Hamad Card Processing and Renewal for the employees

Handling On-boarding through Oracle (Taleo) /HRMS
• Closely coordinating with PRO and Immigration for Visa and Qatar ID.
• Conduct HR Orientation/ Induction for all new employees
• Creating employment file.
• Handling Medical Insurance of the employees

Handling Pre and Post On-boarding activities
