Responsible for all the administrative operations.
Arrange for Chairman’s overseas travels (reservation, arrangements, accommodation…etc.)
Receive phone calls on behalf of the Chairman and take memos.
Handling all the incoming / outgoing documents related to the Chairman
Carrying out all the administrative tasks including airlines, hotel reservations, arranging appointments for the foreign guests
Handling all communication & correspondences with foreign suppliers.
Following up quotations and compare prices between different suppliers.
Negotiating with suppliers to maintain target price.
Following up opened contracts and make sure to execute it in due time.
Following up with the financial department to effect deposit payments of new contract and balance payments for executed shipments.
Contacting shipping lines and forwarders to get the best offers and services.
Following up with the shipping lines and forwarders to track executed shipments.
Reviewing the shipments documents and making sure of its accordance to the customs requirements.
Following up the insurance company to issue insurance certificate for each imported shipment.
Following up with the financial department to insure that shipping documents are attested from the bank and that Application (4) has been affected.
