Leasing Section:
• Review and revise all information in the lease agreements and abstract critical terms and clauses.
• Enter all abstracted lease data into the Real Estate Module System (using SAP).
• Preparing rental payments, and bills to landlords as per payment dues.
• Work closely with Accounting Dept. to ensure the due payments are released.
• Provide documentation and support during lease audits.

Facility Management Section:
• Responsible in managing and monitoring the day-to-day operations requests of the facilities department, through “Help Desk”
• Daily duties will include ensuring the passing of information between Facility Management Company and Operations to ensure smooth operation without delays that may reflect in the store to operate.
• Facility Management includes, preventive and corrective maintenance in addition to ATS maintenance.
• Reporting duties includes, budget and OPEX Cash flow.
• Preparing payments for the FM contractors.
• Contract Management duties shall include renewal and review of contracts.

Construction Management Section:
• Project Owner of the implementation of “New Store Module” on EPM from project start-up till close up.
• Facilitating project session, and workshops and meeting to ensure project progress in track as scheduled.
• Prepare project reports on deliverables and tracking budgets.
• Participate in setting budgets based on analysis.
• Creating Purchase Requests using SAP for civil/furniture works to create a Purchase Order by Supply Chain.
• Preparing all the payments for contractors according to payment terms until the completion of store.
• Maintain and follow with site Engineers and contractors to ensure work progress on site is on time
• Preparing and maintaining progress reports, payment and contractor logs.
• Preparing the monthly capex cash flow and payments forecast, based on YTD budget.
• Reviewing the Statement of Accounts for the contractor to ensure balance of the contractor with accounts dept. and ensure no outstanding payments are on hold and monitor their payment history.
• Coordinate with fixed asset team for the assets recorded on SAP in case of closure or refurbishment stores.
• Prepare Monthly report for SLA presenting the monthly planned and actual works.

Area Executive Secretary & Events Coordinator at Premier Le Reve Hotel & Spa
