Main Tasks and Responsibilities

Payroll Processing In HRMS
1. Ensuring all payroll transactions are processed efficiently. Collecting, calculating, and entering data in order to maintain and update payroll information.
2. Ensure that vacation, sick leave, absences and overtime are correctly updated against the payroll summary.
3. Update employees’ data and bank account numbers in the HR System.
4. Analyse payroll data and report on any anomalies/trends for management review.
5. Maintain all payroll information and Employee salary data in a safe and confidential manner.
6. Prepare periodic/ad hoc payroll reports for management review and information as and when required.

Employee Relations
7. Respond to all Employee queries and requests such as salary certificates, salary deductions, corrections, etc.
8. Prepare employment contract for employees’ signature
9. Ensure the correctness of Job Offers of new hires and inform the HR Head for some variance on contracts
10. Maintains the work structure by updating job requirements and job descriptions for all positions.
11. Issue and maintain medical insurance activities.
12. Extract list of employees due for contract renewal on a monthly basis.
13. Prepare termination package and send to concern department for those who resigned or terminated or fail the probationary appraisal.
14. Administer all terminations, attendance records, disciplinary, and resignation through updating the system to ensure accuracy of employee records and archive related documents.
15. Prepare and release service, salary and employment certificates that are needed by employees for various purposes.
16. Prepare appointment, promotion, and end of employment letters and issue new badges (Emp ID)

Government Relations:
17. Follow up and finalize all company transactions at government offices such as Police, Passports, Labour Office, GOSI, mudad and Ministry of Foreign Affairs …etc.
18. Finalize all employee related transactions or issues at government offices such as Exit Re-entry visas, exit visas, passport, and Iqama renewal, GOSI additions and deletion, Data Activation, issuing new labour cards, sponsorship transfers, police, and data transfers …etc.
19. Proper and efficient management of employee GOSI subscriptions and ensure timely and regular updates.
20. Stay informed of any changes to the government laws and procedures and stand as an adviser.
21. Explain employment standards and legislation such as workers compensation, labor standards
22. Stay up to date on the latest modifications of the labor law and counsel staff about any problems they may occur at work

Organization and people Development
23. Produce a comprehensive human resources action plan.
24. Produce HR policies and procedures/ handbook.
25. Develop Organization Structure and Hierarchy
26. Develop and monitor performance appraisal process.
27. Participate in market data surveys.
28. Create compensation matrix and grading system.
29. Design benefits program including medical insurance.
30. Develop referral program.
31. Liaise with the lawyers to meet legal requirements.
32. Produce and monitor Saudization and recruitment strategy.
