o Performs necessary documentation and record keeping for all contractual documents and other legal documents related to rental contracts
o Maintains proper records and documentation for all spot rental fleet especially those involving opened/closed rental agreements, temporary and permanent cash receipts, invoices, etc.
• Supervision:
Implements and ensures adherence to the following -
o Company credit policy pertaining to new and existing clients
o Pre-approved tariff rates and any discounts given, have to be properly authorized by management
o Details of movement of fleet for rent or transfer from one location to another, have to be captured in CarPro
o Periodic checks of mileage and condition of vehicles, and entry of data have to be recorded on CarPro upon every movement of vehicles
o Vehicles must have valid registration and insurance
o Pre-set preventative maintenance system for spot rental fleet
o Conducts inspections of all branches to ensure that company SOP and policies are followed, and proper documentation of fleets that are either on rent / in service or parked in front of the branches
• Invoicing oriented:
o Ensures issuance of invoices either before or upon expiry of rental agreement and return of rented vehicles, along with the necessary documentations guaranteeing payments on timely basis
o Approves the submitted invoices to send to clients and monitors Branch Controllers, Rental Sales Agent and Collectors regarding collections
