Manages all administrative affairs for the office of the MD in an executive capacity and to be an extension of the MD as needed both internally and externally.
On behalf of MD, work in close coordination with Board Members of PPIB, Stakeholders of different IPPs, Ministries/Division and foreign dignitaries.
Working in close coordination with the Board Secretary and oversees the calendar/activities of BoD.
Assisting in organizing Sub-committees of Board (HR Committee and Audit & Finance Committee).
Supports all directorates of PPIB as a one window facilitator in scheduling meetings/virtual meetings and provision of requisite documents to achieve results of the organization.
Maintains complex calendars activities of the MD Office; coordinates, setting priorities and monitoring meeting dates.
Independently draft letter & email/correspondence and respond to emails/letters when necessary on behalf of the MD.
Plan and schedule travel arrangements, itineraries and ground transportation based of the Managing Director’s heavy schedules and priorities.
Contributes to the overall success of the Office of the MD by performing all other duties and responsibilities as assigned.
Provided executive-level administrative support to the President and the Director General of the President’s Office.
Acted as an Executive Secretary to the International Advisory Board (IAB) of KFUPM; Draft agendas for the Board along with the supporting documentation and distributed to members in advance of the meetings; Responsible for ensuring that accurate minutes of meetings are taken and approved; Acted as a primary point of contact of IAB-related related activities for senior management; Assisted the Secretary General of the IAB in the Preparatory Committee meetings of IAB for finalizing the agenda and other administrative arrangements.
Follow-up the decisions of the Preparatory Committee of IAB with the concerned departments.
Provide administrative & secretariat support in the formation of different Standing Committees of KFUPM.
Maintained the calendar of activities, meetings and various events for the President’s Office.
Coordinated and kept liaison with all the internal & external stakeholders, international universities and research organizations.
