Duties and Responsibilities:
• Directly reporting to Directors (Buildings Director and Discipline Directors)
• Team’s (Structures, Sustainability, Façade, Project Management & other disciplines) point of contact.
• Arranges meeting for respective teams with Suppliers & Sub Consultants as well as internal meetings
• Assisting the Engineers in the preparation and formatting technical reports, specifications, correspondences and other relevant works (All technical reports, specifications and other project documents must be saved in SharePoint)
- making sure a proper format is used according to requirements
- enhance the format for easy access by Engineers and other coordinators
- with close contact with Document Controller for reference and submission requirements
• Preparation and scheduling of office activities, including travel arrangements (visas, hotel accommodation and flights) within the Buildings department
• Assisting all other departments: Commercial & Legal (preparing RFPs and provide support to the routine phases of bids and other related commercial matters), HR (tracking timesheets and leave schedule for respective teams, assisting staff on-off-boarding), Finance (creates Purchase Order, monthly overtime and claims), IT, Marketing, QA/QC, and Facilities Management (assisted the reception in handling other admin works such as: answering/screening telephone calls, checks incoming submittals prior to distribution to concern person, direct visitors to waiting area)
• Performs other office duties such as filing, photocopying, faxing, mailing and filing
• Maintaining weekly timesheet of site staff and all other Buildings’ staff of Middle East office
• Keeper of staff CVs
- regularly updating for a new involved project
• Other administrative support whenever is required
