Maintain high quality communication from and within the Principal’s Office. Liaise with tact and diplomacy with school staff, parents and representative of the School Corporate Office.
Liaise with all school secretaries regarding students, parents, faculty and staff.
Update staff information on Oasis Personnel module and the relevant Education Authorities’ system.
Manage Principal’s appointment calendar as well as all his / her professional communication and public relations needs.
Coordinate personnel needs regarding contact writing, attendance and reporting, employee files, annual reports, annual budgets preparation reports and others school as needed.
Attends staff meeting and serve on committees as required.
Receptionist:
Provide information about the schools (Curriculum, admission procedure, tours, administration structure, etc.).
Response to telephone calls and enquiries courteously and direct calls to appropriate school personnel.
Provide information in regards to school programs, events functions activities, examinations and timing.
Relate courteously with visitors and welcomes them to the school. Maintain reception area presentable and clean at all times.
Gather and communicate updated information on school events, activities and meetings throughout daily bulletin.
Maintain a visitor Register of all visitors to the school and books school tours.
Coordinate the school’s mail delivery system and liaise with courier services.
Assist with Secretarial tasks assigned as and when reasonably required by Supervisor.
Initiate effort and energy beyond the typical work day, where the tasks required additional commitment.
Attend staff meetings and serve on committees as required.
Perform other duties as requested by direct & doted reporting line managers/ supervisor
StoreKeeper
In charge for ordering, purchasing, selling and / or distributing resources within the school premises.
To work in liaison with the Purchasing Officer in budget preparation.
Manage the school store to accurate record keeping and storage.
Update the periodic verification of inventory on hand.
Process printing orders for reports, letterheads, diaries etc.
Assist school accountant in day to day accounting procedures.
Initiate effort and energy beyond the typical work day, where the tasks required additional commitment.
Perform other duties as requested by direct & dotted reporting line managers/supervisors
-Record out going documents and other site office, outgoing
documents ledger.
-Makes a connections for incoming/outgoing and long-
distance telephone calls, answers incoming and internal
phone calls and routes callers to appropriate destinations.
Assist callers in.
- In charge for Distribution documents received for Main and
site office; receiving copy signed by the respective person
and taking a copy, send the receiving copy original to sites.
Maintain the vehicle ledger of site car.
-Preparing weekly reports of Car Violation
-Prepare Meeting Schedule for the week on all Saturdays.
-Prepare meeting schedule for every month to be submitted
to QP /QF office
-File the receipts of petrol, if any, in respective folder.
-Manage / Monitor Office Supplies / Stationeries and Kitchen
Replenishment for Site Office.
-Prepare document transmittal (DTN)
-Prepare comment sheets for Our Engineer at MEP
-Prepares Covering Letter for the Minutes of Meeting.
-Bookings for Hotel and Restaurant for our Company guest.
