Responsibilities:
* Answering calls and scheduling appointments for clients
* Calling clients for a follow up check on their pets the day after their visit in the clinic, making sure both client and patient are happy
* Taking messages for any inquiries or concerns that clients may have and sharing them with the Doctor overseeing the case
* Making confirmation calls for appointments scheduled on next working day, and sending an email and SMS confirmation if the client misses the call
* Checking VetTools PetSites for any appointment and/or client/pet information update requests, and calling the client to schedule and confirm appointment request, then sending an email confirmation with appointment details
* Monthly checking of expiration dates for consumable items
* Receiving deliveries from suppliers for medication, reception sales, and food stocks, then displaying them in reception area for sales
* Closing off invoices via Cornerstone, and updating excel sheets with invoice information for the accounts department’s expenses tracker
* Setting up orders for prescription refills, food items, and reception items as per client’s request
* Ordering reception sales stocks such as pet food whilst person in charge is on leave
* Handling emails, forwarding client emails to doctors by adding into their communications column via Cornerstone, and responding to them when needed
* Calling clients to remind them that their pet/s are due for vaccinations
Responsibilities:
* Collecting and maintaining all filing of HR related documents (copies of passport, medical insurance, emirates ID, certificates, warning letters, and other related documents) both physical and soft copies as assigned by HR Manager
* Assisting with the applicant tracking system of new hires and previously interviewed candidates, updating said tracker of current employment status of candidates, then filing CVs for future references
* Handling of sensitive information while maintaining high degree of confidentiality
* Calling job candidates to arrange an interview schedule according to HR Manager’s availability
* Took notes of meeting minutes and organized points to present to manager
* Assisted team whenever requested to such as printing documents, preparing certificates for weekly recognition awards, fetching mail from mail room, etc
* Assisted HR Talent Manager to keep track of employees’ previous and current certifications received from various trainings provided by the company
o Assist in checking leave of absences of company employees
o Update employees’ personal data records as per request of department head
o Receiving visitors at the front desk by greeting, welcoming, and directing them
appropriately
o Answering screening and forwarding incoming phone calls
