Provide support to Project and Warehouse team, by implementing the strategies set to deliver Procurement Operations customer support and functions.
Managed and Supervised a small team up to 20 employees to provide a full-service procurement function within agreed service levels to customer departments all over Pakistan with the purpose to seek new suppliers in desired category required by Project / Warehouse team and connected through ERP Dynamics System after qualification process.
Authority to issue Purchase Orders for values up to PKR 500, 000 provided the commercial and contractual terms are verified and agreed by Sourcing. Where Purchase Orders values exceed this financial limit, prepare recommendations for review & approval at P&L Specialist, P&L Manager, Manager P&L & VP level.
Set up qualification process of suppliers as per the requirement obtain from PMO or Warehouse team.
Set up Procurement Strategies for the procuring service deliveries as per Project Management Strategies.
Conduct guidance of bidding process to subordinates and presentation for setting up evaluation criteria for preparation of RFP documents.
Coordinate with PMO team and Warehouse team in order to prepare supplier evaluation criteria and prepare requisitions under each element falls under technical and quality criteria and take approval from BOD before proceeding for bidding phase.
Coordinate with Finance team for the evaluation of each suppliers after getting verified audited accounts.
Conduct technical clarification meeting on BOQ / BOM with supplier under services and supplies categories respectively.
Conduct evaluation of bidding and applied evaluation strategies like cost analysis and bid normalization.
Approval of bidding results from BOD and Audit Department and clarification of each objection with supporting documents.
Perform signing frame agreements with suppliers and upload contract in system in order to perform contract enforcement task and ensure the equal business volume opportunities to all successful bidders according to volume assigned as per contract.
Ensured that the purchase documents are issued within the agreed timeliness to avoid delivery delays, a key success of Project Management.
Expedite and coordinate with Suppliers on the deliveries and record genuine delays to apply vendor management as per assigned KPIs and SLAs clearly describe in contracts.
Coordinate with Accounts Payable to ensure on time payments to suppliers based on the agreed payment terms.
Follow up with BU to ensure receipt on the system that will avoid delay in payment.
Working closely with Project Managers and Regional Managers on Turnkey Projects and support them to meet quality and timely deliveries locked with customers.
Monitoring performance of suppliers and quarterly evaluate their performance with Project Team, Quality Department, IT Department and Finance Department and made recommendations in meeting describe the road map how low rated supplier improve their processes to achieve KPIs and SLAs.
Actively participate in monthly S&OP meeting in order to review the business proceedings according to objectives set and implement new strategy designed by S&OP members.
Preparation of procurement budget, managing procurement according to budget and conduct spending analysis is a part of my responsibility.
Response to immediate purchase requisition from Warehouse and Project Team
Prepare Project Procurement Plan for Telecom and Non-Telecom spares and consumables, procure spares and consumables within approved budget.
Coordination with Finance AP for timely process the payment of suppliers for both Engineering and General Procurement after reconciliation with approved final budget from CFO.
Coordinate with Pre-Sales teams for filling up RFP and RFQ after fetching competitive price from different market and approve supplier list.
Searching for new markets in Pakistan and China, conduct commodities price evaluations and price inflation, qualification of new potential suppliers, preparation of bidding documents with project team and warehouse, formulating KPIs and SLA and incorporate in main frame agreements, incorporate payment terms.
Leading Presales team in order to seek some new business and extract more business from existing customer contracts all over Pakistan and Afghanistan. Setting up targets and critically monitoring achievements.
Monitor and Respond to critical RFPs and RFQ from customer and attend clarification meeting to under their expectation levels.
Formulation of business development strategies on the basis of price, services and quality and present it with BOD in Pakistan and Sweden and give presentations on yearly targets and achievements not limited to Telecommunication but enterprise business as well.
As a Commercial Department endeavor leading 8 employees and monitoring timely acquire acceptances against
Purchase Order issued and invoicing with critically evaluate the number of delays either from our firm or from customer and communicate delays on either direction.
Prepared Commercial Tracker against PO, Deliveries acceptances, and invoicing to customer and maintain hard and soft record against each Project and Supplies.
Analyze project deliver strategy and output procurement strategy. Analyze project delivery commercial environment and find the most suitable delivery plan and action. Maintain Blanket Purchase Agreement (BPA) with latest prices as per bid in i-Buy system and negotiated prices or regular price maintenance activities. Follow up on sales and marketing department price enquiries. Consult with PD and PMO and escalate supply chain and quality issues. Follow-up on claims processes, supplier payment term changes. Contract share control and management. Execute Supplier Manager Role for suppliers i.e. negotiations, contract management etc. Utilize all procurement related IT system. Execute sourcing rules (SRs). Sound specific supplier strategy and performance targets.
