• To prepare all forms of communications to provide information to supervisors, subordinates and to communicate with other Departments.
• To document/ record information, maintain files, process all paper work, and to perform day to day administrative tasks.
• To develop and maintain constructive and cooperative working relationships with other departments and agencies.
• To ensure events, processes and all relevant documents comply with Company procedures, policies, regulations & standards.
• To schedule and confirm appointments for department personnel and arrange and coordinate meetings / conferences as required.
• To act as a Department focal point to meet and greet visitors to the department.
• To order, dispense and maintain supplies required for regular administration works.
• To assist Department Personnel in the interpretation of Company Policies and Procedures.
• Perform general tasks such as preparing correspondence, file organization, research Requested Information, archiving, and preparing preempting materials for review.
• Place, receives, and manages phone calls and e-mails
• Updating and maintaining the CEO calendar, scheduling appointment including meetings and travel planning
• Handle customers’ problems
• Coordinatation with all staff members
• Secretary - Typing, Filing
• Handling administration duties and managing the secretarial daily duties
• Handle travels arrangement, hotel reservation, and transportation
• Following up the instructions given by the general manager through all departments at different meetings
• Dealing with embassies in order to getting the foreign visas
