Job description:
• Working closely with implementing partners (IPs) from International NGOs and operational partners to provide assistance & services to refugees.
• Working closely with Programme, Operations, and technical sectors and with UNHCR HQs staff to exchange information and ensure consistent service delivery.
Tasks:
Negotiating agreements and project budgets with implementing partners and ensure that IP agreements are established in conformity with UNHCR’s financial rules and the latest Headquarters’ instructions.
Assist in preparing the Country Operation Plan and budget distribution.
Organizing and documenting a consultative process to ensure a consistent application of the organization’s criteria and policies for the selection of implementing and operational partners.
Represent and lead UNHCR Multi Functions Team in physical monitoring and financial verifications of projects.
Review the implementation and performance of IPs agreements through appropriate physical monitoring to evaluate the projects performance by reviewing work plans, progress reports, budget, financial reports and expenditures; undertake field visits as required.
Processing of requisitions, POs and vouchers.
Initiating payments to Implementing Partners.
Responsible for budget monitoring and financial analysis.
Undertake proper collection, monitoring and use of baselines, standards and indicators needed to measure and analyze Programme performance, trends and target interventions.
Review and analyze agreements financial reports.
Review and take decisions on reclassifications requests proposed by implementing partners in accordance with UNHCR regulations and Financial Management policies.
Participate in donors financial reporting and proposals submissions.
Collects, registers and maintains information on project activities.
Prepare status and progress reports, prepare tables and draft routine correspondence.
Prepare background material for use in discussions and briefing sessions.
Apply UNHCR’s corporate tools (Global Focus- MSRP) to assess the technical soundness of the operation and generate data for evidence-based decisions at the country-level.
Assist in ensuring compliance in issuance of audit certificates for Implementing Partners.
Working with Agricultural Technical Schools.
Assess training requirements and develop programs to meet participant needs.
Conduct Workshops for teachers, headmasters, Ministry of Education and Ministry of Agricultural official on professional skills of implementing field programs.
Monitor and evaluate program activities during their implementation.
Prepare monthly, quarterly, annual plans & reports.
Organize conferences, workshops, seminars & special events.
Manage the implementation of supervised internship program including all logistical and financial aspects in accordance with the USAID policies and procedures.
Responsible for the career development and placement center including career development, recruitment, and relations with business community.
Responsible for the promotion and marketing of the program and social networking.
Deal directly with clients either by telephone, electronically or face to face.
Respond promptly to clients inquiries.
Handle and resolve clients’ complaints.
Obtain and evaluate all relevant information to handle inquiries and complaints.
Perform clients’ verifications.
Process orders, forms, applications and requests with agencies abroad.
Manage clients' accounts.
Keep records of clients and agents interactions and transactions.
Responsible for all shipping procedures and logistics.
Inspect shipping manifests and documentation to ensure compliance with customs law.
Ensures that the country exporting materials and goods complies with regulations.
Monitor the performance of international vendors and maintain relationships with brokers.
Prepare contracts with suppliers with all details.
Organize Payment terms by LC or CAD or T/T and doing all banking transactions like (opening L/C & international T/Ts………..).
Preparing for receiving the goods if it is CIF or preparing the shipping if it is FOB or EX Works….).
Responsible for all shipping documents and procedures.
Interact with vendors, buyers, shippers and customs officials.
Counsel clients on matters like tariffs, insurance and quotas.
Follow up daily reports & mails.
Maintain office files.
Take minutes at meetings.
Manage hotel reservations & programs for foreign customers during their stay in Egypt.
Prepare technical offers & prices offers.
Communicate with suppliers & customers.
Follow up the shipping & clearance of the goods.
Making all bank transactions like opening L/C, international T/T…..etc.
Take the orders from the call center and distribute it to the dealers.
Give the permissions to dealers to take the goods from the store.
Collect results of the orders.
Prepare daily reports.
Prepare correspondence for board members.
Schedule board meetings.
Follow up performance of all dealers
