• Implement Alumni Affairs Central Services policies, procedures and processes.
• Promote HCT graduating students / alumni within its community though events, seminars, publications.
• Research and reach out to community organisations to identify opportunities for employment, mentoring and sponsorship for HCT graduates.
• Establish and maintain a network for local campus alumni through various on-campus and off-campus activities e.g. reunions, invitation and engagement of alumni in events, social media, etc.
• Contribute to the development of alumni relations programmes, in collaboration with Alumni Affairs Central Services, aiming at support the continuous personal and professional development of HCT alumni and their engagement within the community.
• Support Alumni Affairs Central Services in the arrangement of alumni networking events and activities at the local community level.
• Maintain an accurate, comprehensive and up-to-date local alumni database covering information such as careers, place of employment, time spent searching for job, and provide periodic input to Alumni Affairs Central Services for database consolidation purposes.
• Educate HCT graduating students on campus about alumni benefits and engage them in alumni programmes.
• Work closely with Partnerships to support in building partnerships with HCT alumni with the aim to enhance employability of graduate students.
• Identify and invite alumni to campus events and manage their involvement in events.
• Develop and create alumni surveys.
• Prepare policies and procedures for the alumni affairs department.
• Improve alumni day to day operations using technology.
• Update alumni database.
• Prepare business flowcharts for the alumni affairs department.
• Help in setting budget for the department.
• Arrange agreements with organizations to make discounts and special offers for alumni.
• Answer all alumni inquiries through email, phone and social media.
• Attend and contribute in employment exhibitions.
• Organize alumni gatherings.
• Help in developing the alumni magazine.
• Keeping alumni updated with latest university news, events and activities through email and SMS broadcasts.
• Update content in the alumni website.
• Assisting students with submitting documentation required for processing part-time employment forms, posting on the website and assisting colleges/departments with student employment concerns.
• Maintain and prepares statistical student employment data and reports.
• Composes routine correspondence to supervisors of student workers concerning outstanding employment paperwork.
• Develop and conduct workshops on variety of student employment and service topics.
• Attract companies to support student employment fund.
• Manage the room selection and assignments processes.
• Administer all housing assignment for 8200-9000 students and billing processes for 50-100 students in Banner Housing Module and any web-based programs.
• Plan and implement the room selection process each spring for all returning students.
• Plan and implement the room placement and roommate assignments for first year students.
• Coordinate the room change process between semesters and assign new residents for the spring semester.
• Maintain current housing rosters, occupancy report and updates.
• Generate data for housing reports. For example, track daily, weekly and monthly occupancy changes, selection/assignment reports, audit reports, and other various housing statistics.
