• Keeping project files up to date and preparing project activity charts;
• Contributing to the preparation of annual, semi-annual and quarterly project activity reports;
• Assisting in monitoring project budgets, raising and processing project related payments in accordance to project budget lines and performing project budget revisions;
• Organizing and maintaining an easily accessible contacts database for all projects & partners;
• Establishing a document management system;
• Establishing an procedures and protocol manual;
• Maintaining constant contact with government counterparts, stakeholders and UNODC headquarters;
• Acting as project focal point for coordinating requests and inquiries;
• Drafting official correspondence to partners in both English and Arabic and information sharing with the UNODC team;
• Facilitating and organizing workshops and other training events. Responsibilities include sending out invites, putting together participant lists, contacting experts, arranging for event venue, organizing translation and equipment, preparing necessary financial approvals, processing payments, preparing workshop material and agenda, rendering logistic support such as travel reservations, accommodation bookings, daily substantive allowance, and visa permits to international experts and participants on missions to the region…etc.);
• Familiarizing myself with and identifying publication dates of UNODC tools, publications and reports in addition to disseminating these documents among relevant external partners and internal colleagues;
• Writing press releases on office activities and events;
• Preparing minutes of meeting, delegate packages, presentations & reports;
• Conducting regular in-house translation of documents and correspondence;
• Handling confidential documentation;
• Collecting and analyzing data;
• Conducting research on mandate related topics;
• Preparing reports and presentations for the office;
• Coordinating senior management missions and travel;
• Scheduling and organizing meetings with senior management and government officials;
• Organizing and updating Representative’s manual and updating office calendar accordingly;
• Performing other duties as determined by the Regional Representative.
