Job Title: Executive Secretary to Group Head - support
Perform general administrative duties (photocopying, faxing, mailing, filing and office supplies, etc.)
Preparing Purchase requisition, Purchase order & payment request Invoices and following-up.
Work as help desk; receives calls from staff and logs caller name and the nature of problem.
Directs the caller to the right support supervisor.
Handles daily ITD incoming/outgoing correspondences.
Organize and maintain appointments.
Assuring a stocked inventory of ink cartridge & toner; and make a purchase order for GIC staff from supplier as needed.
Create for HR an Employment application forum.
Create file system for HR.
Create a soft copy of Directory for GIC staff.
Record business and personal calls through call system and follow-up the rate for international calls.
Filing confidential personal staff files.
Organize the meetings appointments and make a gate pass for visitors.
Prepare a SWOT analysis between suppliers of Juice and waters.
Follow-up the staff data to prepare the annual gift for birthday and for staff who complete the 5 and 6 years in GIC.
Prepare the invoices & letters.
Prepare monthly invoice for newspaper and divide the total cost per publication and reader.
Provide an applicant with recruitment application forum.
Assuring a stocked inventory of office supplies and equipment including Juices and water, papers, and envelopes, etc; and make a new inventory as needed.
Producing reports, taking minutes of meetings.
Maintain records, confidential files
Typing correspondence.
Open, sort, and distribute incoming correspondence, including faxes and email.
