• Deals with client face to face and via the telephone
• Handles and assist queries for car reservation.
• Prepares the rental agreement, optional product suggestions and upselling in accordance with the customer’s requirements. Ensures all charges are cleared upon closing the rental agreement.
• Prepares daily running reports containing business report, payment collections report, expected off-hiring report and car reservations updates.
• Conducting daily physical check of the fleets which is idle in the respective location. Ensures that fleets are in good and rentable condition.
• Monitors hired/idle fleets which needs to be serviced, repair or due for registration

Duties and Responsibilities
• General administrative and clerical duties including file management, incoming/outgoing correspondences, arrangement of meetings related with administrative matters.
• Prepares memorandums / business letters as advised by the Department Head.
• Ensures the effective coordination of supervisors' schedules by maintaining their diaries and arranging appointments, meetings, travel and accommodation as specified by the supervisors and in accordance with Company procedures
• Monitors and supervise agency personnel for janitorial, mailing, transport and security services.
• Prepares Purchase Requisition for the department and other administrative matters. Follow ups with the supplier for the delivery and installation of purchased goods or services.
• Prepares and monitors request for payment of space rentals, utilities, motor vehicle/fire insurance, gasoline consumption, service car repairs, payrolls of agency hired employees and other payments for purchased order. Prepares application of telephone and internet lines.
• Coordinates with Building Admin for the maintenance/repairs of AC unit, faucets and plumbing fixtures and electrical works of the office. Prepares request for work and service elevator permits.
• Maintain cleaning supplies for the office and model units. Supervision of office cleanliness and maintenance.
• Handles and assist in other queries regarding administrative matters and performs other duties as advised by the Department Head i.e. preparation of reports, coordination with other units.
