Receive the manpower requirements from clients and coordinating recruitment team to fill the right candidate for the right position.
Coordinating with candidate for interview schedule and follow-ups on interview feedback from client
Acts as a connection between clients and employees’ to address various situations as necessary.
Prepares necessary documents for recruitment formalities such as Management approval, Quotations, Security Approval, and Visa Application.
Coordinate the new joiner’s mobilization and on boarding.
Processing job offer, employment contract, employees daily request for any type of letters, record employee leave balance details
Maintain seconded employees personal file and update the details in the ERP system.
Coordinate with the outsourced employees to client with all the HR related supports.
Perform any other duties as are within the scope, spirit and purpose of the job as requested by the line manager
Collect and submit the selected candidates documents to clients for Government Authorities for security clearance approval.
Preparing and updating reports on mobilization statistics on a weekly and timely basis.
Responsible for assisting Account Manager in reporting. To use and maintain a variety of manual and computerized record keeping systems always ensuring the accuracy and relevance of the data stored, in order to provide efficient, accurate and timely reports on request.
Preparing employment contracts for newly recruited employees, Loading all details and documents of employees upon joining through ERP system.
Responsible for post recruitment activities which include arranging visa, ticket & accommodation, intimation, issuing ID cards, health cards, CNIA Pass for the field based employees, presentation of general company policy, HR induction, department induction etc.
Acts as a connection between finance team and clients in process of invoice submission on time, timesheet collection and payments.
Liaise with clients for LOA, service order/Purchase order, client agreement
Updating finance department with new joiners details, contract termination and other exit formalities
Coordinating with medical department with arranging medical insurance cards - Additions /deletion / renewals.
Responsible to issue the Air ticket upon getting the confirmation from client, arranging hotel accommodation to candidates, making LPO to finance department
Giving guidelines to assistants
Contribute to the continuous business improvement process and to the meeting of business objectives.
• Sound Knowledge in full cycle recruitment in technical environment starting from screening CV’s till on boarding.
• Screening candidate’s resumes and short listing candidates as per the inquiries/job description received from the client.
• Posting Job opportunities in online job portals
• Interview job applicants to obtain and verify information before processing them for technical evaluations.
• Editing the resumes according to the protocol of the company in a particular format & Forwarding the edited resumes to the client
• Coordinating with candidates regarding date, time and venue for the interview.
• In case of overseas candidates, continuous coordination with the Public Relations Dept in order to issue a Service visa.
• Making arrangements for the OK TO BOARD with the airlines, hotel accommodation and transportation for the candidates.
• Liaises with candidates/employees, hotels, and travel agencies to ensure that the interview/mobilization of the personnel will be done in an efficient way as per the time schedule/frame of the interview and as per the work flow required.
• Requesting the documents of selected candidates from the interviews and submitting candidates’ documents to client for CID approval.
• Coordinating in preparation of Insurance/ Medical cards
• Interacting with clients and ensuring prompt feedback and response to ensure fairness and probity.
• Coordinate with PRO to ensure that the employment visas for the candidates have been issued at the right time.
• Responsible to update the PRO system (ERP system) according to the changes
• Coordinate with client for LOA and PRO regarding the security passes for employees.
• Coordinating with client for the date of join for newly selected candidates.
• Preparation of Employment Contracts for new joiners.
• Maintaining the updated records for the mobilization status.
• Maintaining and managing a large data base of candidate resumes within the organization.
• Coordinating with bank officials to release accounts for the newly joined.
• Focal point for outsourced (contract hired) employees. Responsible for prepare the various letters like salary certificate, salary transfer letter, NOC, etc upon request from the contractors.
• Maintaining the contractors & client details in company ERP system
• Establish and maintain computer records, including recruitment files, General files, Update of contractors’ information.
• Assist with recruitment process, liaising with recruitment agencies, preparing and posting job requirements, screening applications, arranging interviews, selection and placements of candidates, documentation of new hire.
• Maintain records and compile statistical reports concerning personnel-related data such as hires, transfers, performance appraisals, and absenteeism rates.
• General administrative and logistics support to HR team on setting up meetings
• Prepares correspondence and reports as directed, and sorts mail for distribution. Routine administrative support duties such as responding to phone calls, general word processing preparation of correspondence, and ad hoc reports like absence or working time reports as well as any other administration duties required during the day to day operations.
• Order visiting cards for the staffs
• Responded and attended to different complaints, service issues and other general questions or concerns
• Organizing stationery supplies for the branch
• Updated the report formats as per the instructions from the higher management
• Assist management people in organizing important conferences.
