Job Purpose
In the capacity of Manager Administration, I am responsible for all matters relating to the administration affairs of the factory and liaison with concern Government Organizations in connection with Company’s business.
Role and Responsibilities
Maintain office calendar to coordinate workflow and meetings.
Interact with the organization’s Board of Directors.
Ensure that staff monthly salaries, overtimes and allowances are prepared in time and forwarded to head office for reimbursement.
Maintain liaison with EOBI, SESSI, Labor Directorate, Civil Defense and other relevant Government Authorities and maintain the record.
Handle the annual inspections and audits of Government Department as above in consultation with the Management and concern Department Heads.
Draft reports, replies of the letters and data information etc. in connection with factory operations.
Checks security arrangements of office premises and ensures safety of office and staff.
Appropriate Monitoring of security of office & factory and ensure all system and policies related to security are followed.
Maintain high level of standard for janitorial services in the factory premises.
Checks misuse of office facilities by staff and reports to Director.
Supervise Canteen function.
Supervises third party labors, peons & sweepers and ensures efficiency on their part.
Additional Job Responsibilities
Ensure that the record of utilities bills and arrange payment of monthly bills.
Travel arrangement of foreign visitors, Engineers & Directors.
Supervise proper compliance of Gate Passes.
Monitoring and maintaining the CCTV system and submitting daily security report to management.
Arranging & managing staff and workers transportation.
Managing and monitoring of proper scrap disposal system.
Role and Responsibilities
Preparing and implementing HR Policies & Procedures.

Attend Board, committee meetings or other meetings as requested in order to record minutes.
Ensure that the leave and personnel records maintained and that the leaves granted are strictly in accordance with Company’s policies.

Maintain liaison with EOBI, SESSI, Labor Directorate, Civil Defense and other relevant Government Authorities and maintain the record.

Ensure that the record of the staff insurance coverage and arrange renewal as and when required.
Draft reports, replies of the letters and data information etc. in connection with Refinery operations.
Checks security arrangements of office premises and ensures safety of office and staff.
Maintaining high standard of janitorial services in Plant Premises.
Checks misuse of office facilities by staff and reports to Director.
Supervise Canteen function.
Supervises drivers, peons, riders, telephone operator, sweeper etc. and ensures efficiency on their part.
Any other assignment given by Management.
Additional Job Responsibilities
Ensure that the record of the Refinery’s vehicles, arrange payment of duties, Taxes when applicable and maintain the record of maintenance of the vehicles.
Ensure that the record of utilities bills and arrange payment of monthly bills.
Liaise with the company secretary regarding the foreigner’s permission into port entry area.
Monitor and maintain the CCTV system.
Maintain LAN / WAN networks.
To install system software and troubleshoot if required.
Maintain computer hardware systems.
Assess the new requirement of system and arrange the system if necessary.
Conduct basic IT related training to the end user.
