• Maintains internal departmental system records.
• Liaises with external providers of services, notaries, legal firms, auditors, etc. for various updates, e.g. fees etc.
• Prepares quasi-and standardised documentation such as proxy forms, powers of attorney, etc.
• Prepares and updates tables for the collation and monitoring of department information.
• Monitors and updates records and tables on the preparation, signing and storing of minutes and decisions.
• Sets-up and monitors the observance of the department general filing records system.
• Liaises with relevant departments in communicating queries and obtaining feedback to clients.
• Takes ownership of enquiries, resolving or escalating (or identifying alternative contacts), as appropriate.
• Diary support, booking travel and putting together itineraries for the Department Head.
• Preparation of presentations.
Board Secretariat
• Assist in responding to shareholders request.
• AGM: Coordinates general meeting secretarial matters on AGM preparations, including supervising the consolidation and collation of shareholding binders in hard copy and on-line and administrate the online registration.
• Board Meetings: Collates and ensures the distribution of both hard copy and soft copy packs for Board, Board Committees and other meetings.
• Takes queries on requests from Board members.
• Coordinates and liaises with concerned departments for the preparation of Board meetings whether held in the Headquarters or outside the Bank premises.
• Coordinates the typing or audio-types minutes of meetings and other documents associated with meetings
• Follow-up on action tracking log resulting from all committees, meetings, missions for which actions are required by the department.

• • Management of on-line diaries, booking appointments and arranging meetings
• Ensure CEO get to meetings on time with appropriate documentation
• Handling and screening calls for CEO
• Taking and passing messages to CEO in a timely manner
• Organising conference calls as needed and maintaining call record for accounts purposes Monitoring CEO email in-boxes when they are out of the office or at meetings and taking action as necessary
• Organising interview times as part of the organisations appraisal system for CEO at appraisal time.
• Organising business travel and accommodation bookings for CEO
• Co-ordinating and preparing monthly expenses claims and office petty cash

Client database management and marketing assistance when needed. Keeping CEO own contacts databases up to date
• Assisting with the organisation of events as needed including dinners and outside events
• Personal errands as occasionally requested by CEO

• Maintaining the time schedule of the Zone Head and keeping it up to date.
• Handle Petty cash for 6 branches.
• Maintain Staff Expenses Balance
• Prepare presentations and analysis for zone branches including but not limited to sales reviews, balance sheets, KPI’s, competition.
• Coordinate with HR all staff Related issues 100 Employees ( Recruitment, Training, transfers, Vacation Balances, sick leaves, allowances, contract renewals, Job Description amendment, salary survey in remote area, staff house rental/ renovations, KPI’S, performance management appraisal and profit sharing)
• Keep an accurate and update Manning Guide and Head Count
• Type correspondence, reports and presentations (using different software’s).
• Take minutes of different meetings and transcribing them
• Handle all incoming and outgoing mail related to the Zone Head
• Arrange travel, meetings and appointments for Zone Head
• Prepare all documentation and correspondence for Branch Heads meetings, and keep complete records for each meeting.
• Ensuring Quality standards over the zone branches and staff house accomodation, keeping a database for vendors and contractors with a close follow up on contracts renewals, agreements or termination.
• Maintain an updated Chart for the zone and files for employees
• Coordinate the implementation of Summer internship program

• Coordinate with outsourced payroll provider on the monthly update of master employee data.
Administer Annual Leave / Sick Leaves records and any benefit related accruals.
• Handle employees requests and problems

• Responsible of all authorization cases.
• Responsible of trains/coaches new CitiPhone officer.
• Responsible of handling the shift problems as a shift leader.

• Handling Citigold customers & making Vodafone payments.
• Handling FRAUD EARLY WARNING SERVICES

• Provide customer service and perform finical transaction to all customers calling in the call center.
• Identify potential customers' opportunity to deepen customer relationships (cross-selling), resolve customer complaints in minimum time frame, archive established standard for call handlings quality, productivity and availability.
• Handling customer's calls providing thorough product information.
• (Banking information, credit card information and loans information).
• Handling banking transfers through different accounts.
• Handling all problems concerning credit cards.
• (Lost/stolen cards, interest calculations, balance inquiry, payment inquiry).
• Resolve customer complaints or problems within required time frame.
• Interfaces with other internal departments to resolve customer problems and requests as necessary.
• Adheres to corporate customer satisfaction standards and services indicators.
• Maintains up to date knowledge of product and service features and related procedures.

• Revise the payroll for 300 employees.
• Administer the Medical insurance programs.
• In charge of issuing various HR Reports (Hiring, Separation, Turn over, overtime…etc), Analysis and presentations presented to HRD.
• Contribute on the salary and benefit survey
• Project Owner for the finger print attendance system “ Database input, employees Training and errors reporting”
• Obtaining and overlooking work permits and visas for foreign employees.
• Drafting various documents: the contracts of employment, letters for internal or external vacancies, HR letters, and social insurance letters, expenses sheets.
• Expose new staff to company policies and best practice.
• Maintain Staff Activities (Employee of the month, Staff Boards…etc).
• Inspect the Staff Restaurant & Lockers.
Re-organizing the Human Resources Filling System structure, Various Filings.
• Coordinate the office stationery allocation, availability and top up.

• Assists in hiring process: reviewing resumes, performing telephone interviews and reference checks
• Prepare vacation balance. Implement an attendance monitor system
• Present monthly report s for manning guide, Head Count, Hiring and Turn Over
• Maintains personnel files in compliance with applicable requirements.
• Keeps employee records up-to-date by processing employee status changes in timely fashion.
• Processes personnel action forms and assures proper approvals; disseminates approved forms.
• Draft internal and external correspondence for candidates and employees
• In Charge of Staff Café & Staff housing structures (renovation, supplies and inspections)
Maintaining excellent relations with the authorities and officials like social office, labor office, police of tourism …..etc in Sharm El Sheikh
• Following-up all material requisitions in the office & the staff house, supervise the preparation of payments to suppliers and pre-authorize them for submission and control the daily petty cash and ensure proper accounting.
