To be the point of contact for all incoming calls for the Chairman and to screen telephone calls and visits from suppliers, traders, etc.
Organize and attend to the Chairman’s office particularly with regard to incoming and outgoing mail and its distribution and update him on all urgent correspondence;
Receive and attend to VIP’s dignitaries and important Clients when they visit the office or various sites of Diar Consult Projects;
Schedule, organize, coordinate and attend meetings on site when is required;
To take minutes of meeting and to attend at numerous meetings, including high level board meetings;
Control appointments, fill in the Chairman’s diary and update him on appointments;
Prepare al necessary correspondence and issue the same as required including private/ confidential correspondence;
To liaise with Diar Consult’s other offices as required;
Follow up other administrative issues as required such as employee registers and time sheets, monitor and oversee staff and assist HR. issues as required;
Prepare and follow-up reports, prequalification documents, tenders for various projects;
Make hotel and/ or travel booking as required;
Assist the company administration staff as and when directed in day-to-day tasks/ activities;
Maintain confidentiality of the office and management decisions and not to disclose such information/ decisions to the staff.
