Job Responsibilities in Detail
Responsible for General Administration of Organization
• Responsible for the team handling the activities relating to Office Administration Head Office and Other Office premises
• Coordinate and arrange annual office functions (labour party, staff party, in-house cricket and badminton matches, Ramadan fruit packet distribution, etc.), various employee get-togethers/meetings, other banqueting requirements, and travel arrangements. Coordinate for community development activities (like clean-up the world, etc.)
• Maintaining the records of all government related legal documents for UAE, Qatar, etc. and co-ordinate with PRO for timely renewal of them.
• Arranging desktop calendars, seasons greeting cards, company advertisements material (including arranging project photo shoots, design, deciding supplier, negotiating price and distribution)
Communication Lines: • Arranging telecommunication facilities (telephone, fax and internet) for new offices, project offices.
• Allocating mobile phone and SIM cards to staffs, based on their eligibility criteria.
• Co-ordinating with respective service providers for clarification/rectification of various issues related to communication facilities.
Vehicle Petrol / Parking Cards: • Maintaining the log of Petrol and Parking Cards and renew the same when due.
• Arranging new Petrol Cards and applying for addition/deletion of cards - Online.
Information Technology (IT): • Maintaining proper log of all IT equipments (with details of purchase value, date, user details, etc.)
• Receiving requests for IT equipments, arranging from stock and if not available to procure from suppliers (incl. floating of enquiry for quotes, obtaining prices, negotiating and placing order)
• Appointing Annual Maintenance Contractor by inviting quotes, negotiating prices, assessing their services, etc.
• Co-ordinate with Annual Maintenance Contractor for timely attendance of IT related call-outs at various projects/departments.
• Procurement and installation of Anti Virus Software on annual basis.
• Disposal of redundant IT material based on their book value.
Workmen Compensation Insurance: • Receive Insurance Claim documents from Project HSE Department, scrutinize, add necessary back-up documents and submit to insurer for re-imbursement.
• Maintain and update the log of re-imbursement claims.
• Follow-up for re-imbursement of claims from the Insurer and upon receipt of credit notes advise Accounts Dept. whether to credit to employee or to company.
