- Administrate sales order processing - from entry in company’s manufacturing system to securing of clearance from Credit Control and endorsement / routing (of confirmed orders) to Planning Dept.
- Serves as link between company’s sales and production staff for exchange of information.
- Prepares periodical sales order schedule for endorsement to Planning Department and order monitoring report for use of Sales Supervisor.
- Coordinates with Die Shop and Design Office staff for drawing and die cost provision.
- Prepare reports as requested using ERP system and then transfer them to required presentation.
- Prepare different type of summaries related to sales activities such as dispatch summary, collection summary, ready material summary etc. in excel format or power point.
- Prepare and write all letters, faxes, replies, procedures based on comments from relative team.
- Manage all files / documents related to the area related to team and do anything required.
- Monitoring sales forecast and update day to day collection summary report.
- Accommodate customers and directing them to an available technician.
- Consulting with technicians about needed repairs and alternatives that can be offered in place of expensive repairs.
- Attending customer questions about service outcomes and consulting with technicians when necessary.
- Informing customers about potential cost savings and warranty protections.
- Assisting customer with deciding to fix their car through the dealership's shop or trading the vehicle in.
- Overseeing and managing the service center's scheduling and workflow.
- Informing customers of changes in service or when their vehicle is ready to be picked up.
- Dealing with suppliers, provide estimates and schedule appointments, being courteous and friendly to build strong relationship with the customers. Handling customer complaints diplomatically and politely.
- Able to clearly explain the technician's repair recommendations to customers while communicating customer needs to technicians.
- Able to comprehend customers questions and concerns as well as what is being said when technicians give complex service recommendations.
- Engineering and mechanical expertise: Having extensive knowledge in when looking over complex technical documents, ordering online and speaking with technicians.
- Troubleshooting skills: Able to think on own feet and quickly resolve issues when customers change their minds about service work, repairs are running behind schedule or parts arrive late.
- Math and writing skills: Prepare and calculate estimates.
- Processing Warranty Job cards and required PWAR.
- Making full control of the Workshop activity load.
- Monitoring job cards daily basis and following up with unavailable parts.
- Reports to Branch in Charge in regard to Jobcards opened, closed & cashed out before end of duty.
- Processing of vehicle maintenance service requests.
- Update customers and monitor pending jobs.
- Monitoring employees attendance.
- Prepare service account invoices to operation lease customers monthly with customer and Finance copy.
- Evaluation and suggestions of overall operations.
- Processing of fleet vehicle maintenance service requests.
- Update of system registration and accidents.
- Monitoring and maintaining the Fleet petty cash float.
- Prepare monthly invoices from suppliers.
- Evaluation and suggestions of overall operations.
