Handling the Imports and Export Operations and ensuring proper documentation for all shipments.
 Monitor suppliers, forwarders and transporters to ensure timely delivery and clearances of goods.
 Monitor the shipment by following up with carriers and constant communication with the consignee/
supplier and update the status of the shipment.
 Follow up with the clearance Agent to ensure the shipment is cleared and delivered on time.
 Foreign Trade Correspondence - Pharmaceutical (following up with suppliers via emails, phone calls).
 Correspondence (providing information, updating, advising on problematic issues) with the suppliers
and distributors worldwide, insurance agents, clearing agent and shipping companies.
 Preparing Official Documents for exports or verifying documentation is in order for the efficient and
lawful execution of all import/export activities.
 Ensuring shipment delivery meets deadline of the order/ contract with the Client and Ministry.
 Follow-up with shipping lines and clearance agents and/or solve important issues to avoid probable
delay/ demurrage.
 Entering status of orders in Oracle: JD Edwards Software.
 Preparing/Generating Reports to verify Balances Received, Outstanding Balances etc.
 Updating Wholesale Prices.
 Entering the Purchase order (stock) into system.
 Applying to QCL supplier’s invoices - initial & final release for Pharmaceutical, Cosmetics, Medical
Device, Food Supplements and obtaining relevant approvals from Ministry.
 Prepare and submit relevant administration documents in a timely and accurate manner, for example:
shipping schedules; licenses; declarations; packing, routing, transport and safety documentation.
 Arranging and completing all associated paperwork, which documents the nature of the goods being
imported from abroad and that they are legal and legitimate.
 Insurance: Insuring shipments and sending claims in case of any damages.
 Flexibility in handling all imports and exports related works.
 Negotiate for the best possible freight option (air/sea/courier/truck), considering all parameters of the
shipment to ensure customer satisfaction.
 Prepare Quotations for Ministry Tender.
 Blocking and releasing goods in the System for sale on receiving Final Approval.
Providing Support to Accounts Department :
 Prepare cost sheet with all cost incurred for all shipments, cost allocation etc. and allocate Overhead
allowances towards items.
 Entering Goods Received in the System, along with allowances incurred on items.
 Preparing Accounts Payable and Submitting to Accounts Department inorder for them to make Timely
Payments to Suppliers.
 Preparing Debit Notes for Ministry Orders, Legalization of Documents, Bonus Account Debit Notes,
Promotional Items Reference Standards Registration Samples Etc...
 Initialing Advance Payment to be made to Suppliers.
 Prepare letters of credit applications, LC amendments upon request of Suppliers.
